    Organization Overview

    Position Summary

    We are looking for a skilled, part-time Office Coordinator to undertake a variety of day-to-day office tasks and who will be an integral part of making sure our office runs smoothly and supports Nexus staff and guests. The work will primarily occur in Nexus' St. Paul office with occasional opportunities to work from home. The desired schedule for this position is currently 15-20 hours per week, Monday thru Thursday with occasional evenings/weekends. Hours will vary with most work occurring from 9am-2pm. This is an exciting opportunity with great potential for growth into a full-time position (Nexus FT hours are Monday-Thursday, 32 hours per week). This position reports to the Executive Assistant/Office Manager.

    Position Functions & Responsibilities

    Administration (40%)

    Performs clerical duties including typing, filing, and completion of simple forms

    Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment; engage in basic trouble shooting of office equipment

    Take inventory and order office supplies as needed; keep various areas of the office stocked with supplies

    Receive and route mail and deliveries to staff members

    Ensure Nexus office appears clean and organized

    Make copies; create and edit documents

    Maintain electronic and paper files

    Coordination (30%)

    Manage schedule and securing space for office events & staff-wide gatherings

    Arrange for food & supply deliveries, vendor visits, and other incoming office guests etc.

    Coordinate with property manager to schedule maintenance visits

    Coordinate weekly all-staff meetings (currently via zoom)

    All other general office coordination functions as needed

    Communications, Outreach, & Engagement (30%)

    Serve as the receptionist for the office, engaging with staff, visitors, and program participants

    Serve as point of contact for the office alarm system; enter new staff into online system

    Answer incoming calls and general email inquiries and route to the appropriate staff

    Communicate with various vendors (copier, technology, custodial, food, etc.) for updates & repairs

    Desired Qualifications

    Understands and embraces efforts that promote racial, social, and economic equity and asset-based community change, including knowledge of the role of culture and history in community.

    Excellent oral and written communication skills, and ability to communicate effectively with different audiences using a wide range of media.

    Strong interpersonal and relationship building skills

    Proficient typing and computer skills, including Microsoft Office 365, Zoom, and other meeting technology. Able to learn new software programs quickly and efficiently.

    Proficient/troubleshooting skills with office equipment such as copier, internet modem, video conference, etc.

    Demonstrated ability to manage multiple projects, manage time, and maintain high quality work

    Ability to think critically and ask questions that will enhance the work.

    Very detail-oriented and analytical.

    Ability to self-motivate and self-direct; organize their own work by setting priorities.

    Must be able to lift up to 20lbs and sit/stand for hours at a time
