    EXECUTIVE ASSISTANT – FAST-PACED C-SUITE CALENDAR MANAGEMENT

    ABOUT THIS JOB

    This role offers an opportunity to help build a fast-growing part of NielsenIQ. This individual will provide executive assistant support to the Chief Transformation Officer as well as the Chief Strategy Officer.  This role is based in our Chicago office (hybrid).

    RESPONSIBILITIES

    • Primary administrative responsibility to the Chief Transformation Officer and Chief Strategy Officer, both based in NIQ’s Chicago office
    • Secondary administrative support for the immediate direct reports of the Chief Strategy Officer and Chief Transformation Officer, capacity permitting
    • Provide extensive calendar management for all internal and external requests
    • Coordinate scheduling and preparation of all internal/external C-Suite engagement opportunities
    • Arrange complex, detailed (domestic and international) travel plans, itineraries, agendas, and compile all necessary documents for travel-related meetings
    • Prepare and submit monthly travel and expense reports as well as all necessary invoices for payment
    • Provide efficient flow of documentation requiring approval as needed
    • Other day-to-day administrative responsibilities as required, including supporting team activities and internal events (create meeting agenda, prepare meeting space, order catering, lead day-of execution of events, etc.)

    QUALIFICATIONS

    The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities. Provide “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Chief Strategy Officer and Chief Transformation Officer’s time and office.  Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.

    • Strong work tenure: 5 to 10 years of experience supporting Senior Executives, including organizing events and executive-led meetings (both internal and external)
    • Meticulous attention to detail, strong multitasking, and problem-solving skills
    • Thrives in a fast-paced, high-pressure environment and enjoys being challenged
    • Strong interpersonal and verbal/written communication skills
    • Professional demeanor and ability to interact with senior executives
    • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
    • Highly Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
    • This is a hybrid position based out of our Chicago office.
