    Schedule: Monday - Friday (40 hours per week)

    Pay: Salary, Exempt 

    POSITION SUMMARY

    1.     In collaboration with the Controller and the Office of Student Affairs, ensure unified execution and/or implementation of all departmental responsibilities to internal and external constituents.

    ·       Assist in the development of and regularly update a comprehensive manual of standard operating procedures that relate to collection, accounting, and communication regarding student fees, tuition, and other charges.

    ·       Serve as the coordinator for maintaining timely, accurate student accounts in the student information system (SIS).

    ·       Attend training sessions, make required updates in the system, communicate SIS changes with internal and external stakeholders.

    2.     Coordinate with the Office of Student Affairs to review, post, and reconcile information to in the SIS and financial accounting system to include but not limited to:

    ·       Develop student invoices for each term.

    ·       Charges due to include student insurance and other fees. 

    ·       Financial aid to student ledgers.  

    ·       Cash, check, and electronic payments.

    ·       Provide proper documentation for all payments. 

    ·       Disburse student refunds in check or electronic formats.

    ·       Follows up on past due payments.

    ·       Develop and produce timely reports.

    3.     Serve as the point of contact for students' participants and official representatives of the Health Professions Scholarship Program (HPSP) and National Health Service Corps (NHSC).

    ·       Provide individualized invoicing for students in these programs to ensure required information is being provided to the requesting party for comprehensive reimbursement.

    ·       Develop and share relevant information about HPSP, NHSC, and other third-party billing to internal and external constituents.

     

    4.     Serve as the point of contact for students, parents, and third-party billers for questions regarding student accounts. 

    ·       Coordinates and executes a communication plan for Student Accounts to ensure regular and consistent messaging.

    ·       Assist with establishment of payment plans and monitor compliance with approved plans. 

    ·       Provide in-person and virtual training on how to make payments, set up payment plans, receive refunds, and other student accounts topics.

    ·       Provide clear and concise messaging about how to interpret the invoice, how to pay the invoice, and instructions for disputing any part of the invoice.

    5.     As relates to the department, actively engages in the advancement of the College. 

    ·       Builds collaborative partnership opportunities across and among various entities participating in networking opportunities, [internal and external partners [elected officials, state constitutional officers, business and community leaders] other colleges and universities, hospitals, local organizations, societies, etc.] promoting relationships with the College. 

    ·       Refers to and coordinates in advance with the Communications team in the Office of the President on all media contacts, communications, and/or interactions to include message, promotion, etc. in which asked to serve as an official representative, content expert, or spokesperson on behalf of the College. 

    ·       Coordinates in advance with the Communications team in the Office of the President on all Noorda-COM related legislative issues to include contact with the national, state, and local government officials, whether in official College capacity or with a national, state or local organization.

    ·       Serves on various committees and teams within the College as assigned (attending meetings, contributing to discussions, sharing/exchanging information, and leading constituents toward goal attainment) to include advising and mentoring (Students, clubs, campus organizations). 

    ·       Contributes to College’s compliance with and in the development of required documentation as related to accreditation of all programs to which departmental content is contributed. (Faculty adequacy model, gathering data, self-assessment, peer review, providing input/feedback, etc.) aiding in the attainment of academic compliance. 

    ·       Participates in the production of various College materials [academic calendar, strategic planning, directory, College website, etc.] (collecting/preparing materials, organizing/formatting data, adhering to various deadlines, reviewing drafts, providing input/feedback, etc.).

    ·       Contributes to the College’s reputation/image of being one of the best osteopathic medical colleges (monitoring outcomes, partnering with internal and external stakeholders, modifying techniques, etc.). 

    ·       Is knowledgeable of and remains in compliance with all institutional policies and procedures as outlined in the Employee Handbook for Noorda-COM College.

    6.     Contributes to team effort by performing other duties as needed/assigned.

    QUALIFICATIONS  

    Education:    Baccalaureate in business management, accounting, or finance is required. An Associates degree with three or more years of bookkeeping experience may be considered. 

    Experience: 

    ·       1-3 years of demonstrated experience in bookkeeping, accounting, or financial management.

    ·       1-3 years of demonstrated direct customer service experience.

    ·       1 or more years working with student information systems and/or financial accounting software.

     

    Skills & Abilities:      Highly professional with honest, genuine, direct communication style, excellent interpersonal skills, and emotional maturity with the essential ability to demonstrate tact, discretion, and job diplomacy. Understanding of higher education management. Proven track record of quality, integrity, and trustworthiness. Ability to make common sense, consistent and fair decisions (based on fact and data) and have courage of convictions and tolerance for ambiguity.
