    North Wind Services, is actively seeking individuals who can contribute to national security within the science, technology, and engineering fields as part of our supplemental labor team at vital federal research and development installations supporting the Department of Energy. NWS has an established history of contributing to the success of their customers mission.     Successful candidates will be employees of NWS, a premier government contractor charged with employing highly-motivated and well-qualified personnel who can advance the missions of the Lawrence Livermore National Laboratory in Livermore, CA. Though employed by NWS, the employee will take day-to-day direction from technical personnel employed directly by the research laboratories. Pay, benefits, Human Resource, and Employment Management functions are provided by NWS.

    The Environment, Safety and Health (ES&H) Directorate has an opening for a Health Services Administrative Assistant in support of our Health Services Department (HSD). The successful candidate will work independently following established procedures to assist, develop, and implement a wide range of advanced and diverse administrative and operational activities. The successful candidate will also provide direct administrative support to the HSD Medical Director, Health & Wellness Manager. This position will report to the HSD Business Operations Manager.

    This position may require the employee to have the flexibility to work overtime, shift and/or weekends to accomplish goals. The successful candidate will be required to pass various on-site training modules to pursue work assignments.

    ESSENTIAL DUTIES

    • Coordinate onboarding and manage office space for new hires.

    • Plan, execute, and provide oversight to a variety of administrative, operational, and organizational requirements and activities and serve as the primary point-of-contact for HSD administrative matters.

    • Coordinate and lead various administrative projects and initiatives; collect, validate, and interpret business, operational and/or organizational planning data in support of strategic and/or workforce planning activities.

    • Provide administrative support to the Business Manager in the tracking and maintaining of HSD required credentialling for clinical staff.

    • Manage complex calendars; independently determine scheduling priorities, committing and managing time, and coordinating and scheduling of multiple attendees for key HSD Management.

    • Prepare, review, and/or compose administrative material for management signature and independently track action items, ensuring timely flow of paperwork.

    • Identify and make recommendations for process improvements.

    • Screen telephone calls, independently answer inquiries, make appropriate referrals, follow through on requests; review, prioritize and disseminate incoming mail.

    • Perform all assignments in accordance with ES&H, security, and business practice requirements and policies.

    • Perform other duties as assigned.

    ESSENTIAL SKILLS, KNOWLEDGE, AND ABILITIES

    • Ability to maintain a U.S. DOE L-level security clearance which requires U.S. citizenship.

    • Experience working under minimal supervision, in a multitask environment of rapidly changing priorities, deadlines, and frequent interruptions while maintaining customer focus using discretion and mature judgement in a fast-paced environment.

    • Understanding of basic principles of personnel administration, policies and procedures and of HR compliance requirements for personnel administration.

    • Experience problem solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.

    • Experience leading administrative projects effectively and ability to understand, interpret, and apply operational related policies and procedures; advanced organizational skills, attention to detail, accuracy, and follow through.

    • Effective interpersonal skills with the demonstrated ability to handle sensitive and confidential issues with tact, discretion, and mature judgment.

    • Advanced written and communication skills necessary to effectively interact with all levels of personnel internal and external to LLNL, including accurate editing and proof-reading skills.

    • Advanced skills using desktop tools (e.g., Excel) to manage business processes, track, and trend data, and develop operational reports.

    • Experience working effectively as a team member as well as independently.

    DESIRED SKILLS, KNOWLEDGE, AND ABILITIES

    • Knowledge and experience interpreting and implementing LLNL policies, procedures, and practices.

    SPECIAL REQUIREMENTS

    PRE-PLACEMENT MEDICAL EXAM: A job related pre-placement medical examination may be required.

    PRE-EMPLOYMENT DRUG TEST: External applicant(s) selected for this position will be required to pass a post offer, pre-employment drug test.

    ANTICIPATED CLEARANCE LEVEL: L (position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements for access to classified information or matter. In addition, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship. If you hold multiple citizenships (U.S. and another country), you may be required to renounce your non-U.S. citizenship before a DOE L or Q clearance will be processed/granted.
