    JOB DESCRIPTION

    • Provide Administrative Support: Perform general office tasks, organize office activities and a variety of ancillary office support functions by using a combination of office automation hardware and software programs to carrying out a variety of program management office and clerical and technical duties.
    • Agenda Management: Maintain, monitor and synchronize calendars, schedules, events, briefings, meeting, invitations, and activities. Serve as receptionist for visitors with scheduled office calls.
    • Meeting Support: Reserve conference rooms, coordinate electron invitations, coordinate the set-up of AV/VTC facilities, prepare handouts, distribute “read-aheads”, coordinate teleconferencing and document meeting minutes.
    • Information Management: Composes and write quality official correspondence, reports, letters, notices, instructions, and memoranda and documents for signature. Will utilize Microsoft Office Suite and various software types such as internet, database, spreadsheets, calendars and electronic mail.
    • Gather and review information to develop correspondence and reports using Microsoft software (Microsoft Word, Outlook, Excel, and PowerPoint). Perform data entry and prepare data for inclusion into briefs using Microsoft PowerPoint, Word, Excel and other programs.
    • Perform word processing to texts, tables, and graphs; generate reports and memoranda, and support briefings and technical presentations.
    • Review, edit and ensure accuracy of reports prior to release to government officials. Responsible for correct format, spelling, punctuation, and grammar.
    • Format all correspondence, awards, and reports received from the Division's that require Flag Officer or Senior Executive Service review and endorsement.
    • Maintain, monitor, update and report status of program action items. Track, file and log correspondence to coordinate program planning. Prepare findings on program issues to present facts and make suggestions for improvement.
    • Use computers and office software programs to enter data or correct errors or omissions in documents, files, and records. Operate government furnished office equipment, such as facsimile machines, photocopiers, scanners, videoconferencing, and telephone systems. Assist with general office supply storage and distribution.
    • Track and coordinate internal and external taskers.
    • Liaison with personnel to resolve issues and to enhance information.
    • Serve as Defense Travel System Reviewing Official for travel processed through the Defense Travel System.
    • Prepare and review travel authorizations, coordinate travel arrangements, review travel vouchers prior to approval and payment, and resolve travel related issues. Prepare messages in support of overseas travel.
    • Reception Duties: Greet office visitors and assist with issuing Joint Staff Visitor Badges and Joint Staff visitor credentials during in- processing, events, and exercise executions.
    • Promptly answer the telephone with professional, pleasant phone voice and greeting. Transfer call or take message. Retrieve voicemail messages and relay message to the proper person.
    • Serve as officer space manager, coordinate new personnel (CIV/MIL/CTR) space access permissions and procedures. Monitor adherence to proper space opening and securing documentation. Serve as a workspace liaison for external provided services (maintenance, custodial services, equipment support, and pest control).

    QUALIFICATIONS

    • College Preferred
    • Must be proficient in MS Office Suites
    • Must have an Active Secret Clearance
