Responsibilities:
- Greet visitors and provide a professional and welcoming reception experience
- Manage incoming calls and direct them to the appropriate individuals
- Coordinate and schedule meetings, conference calls, and appointments, ensuring all parties are well-informed and prepared
- Maintain office supplies inventory, placing orders as needed and ensuring adequate stock levels are maintained
- Assist with facilities management, including office maintenance, repairs, and vendor relationships
- Handle incoming and outgoing mail, including sorting, distributing, and processing shipments
- Assist with travel arrangements, including booking flights, accommodations, and ground transportation
- Prepare, edit, and proofread correspondence, reports, and other documents with a high level of accuracy and attention to detail
- Maintain and update various office records, databases, and filing systems
- Provide administrative support to various departments, including finance, human resources, and operations
- Assist with event planning and coordination, including logistics, catering, and materials preparation
- Collaborate with team members to ensure smooth communication and coordination of office activities
- Handle confidential information with the utmost discretion and professionalism
- Assist with other ad-hoc tasks and projects as assigned
Qualifications:
- Bachelor's degree in Business Administration or a related field is preferred
- 4-10 years of experience in an administrative role, preferably within the financial services industry
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications
- Excellent organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively
- Strong attention to detail and accuracy in all aspects of work
- Excellent verbal and written communication skills
