    Job Description: As an Executive Assistant, you will play a critical role in supporting our executive team in their day-to-day activities, ensuring smooth operations and efficient workflow. Your exceptional organizational skills, attention to detail, and ability to anticipate needs will be vital in this position. You will have the opportunity to work closely with senior leaders and contribute to the overall success of our firm.

     

    Responsibilities:

    • Manage complex calendars, including scheduling meetings, conference calls, and appointments, while proactively resolving conflicts and ensuring all relevant parties are informed
    • Coordinate extensive domestic and international travel arrangements, including flights, accommodations, and ground transportation
    • Prepare and edit correspondence, presentations, reports, and other confidential documents with a high level of accuracy and attention to detail
    • Conduct research and compile information for various projects, presentations, and reports as requested
    • Act as a gatekeeper, screening and prioritizing incoming calls, emails, and other communications, ensuring timely response and follow-up
    • Assist with the preparation and coordination of board meetings, investor meetings, and other high-level events
    • Manage expense reporting and reimbursement processes, ensuring adherence to company policies
    • Handle highly sensitive and confidential information with utmost discretion and professionalism
    • Collaborate with other executive assistants and provide backup support as needed

     

    Qualifications:

    • Bachelor's degree in Business Administration, Finance, or a related field is preferred
    • 2-5 years of experience as an Executive Assistant, preferably within the financial industry, hedge funds, or asset management firms
    • Proven track record of providing high-level administrative support to C-level executives or senior leaders
    • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications
    • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines
    • Excellent verbal and written communication skills, with a keen eye for detail and accuracy
    • Discretion, integrity, and the ability to maintain confidentiality in handling sensitive information
    • Ability to work well under pressure, adapt to changing priorities, and maintain a professional demeanor
    • Strong interpersonal skills and the ability to build relationships with internal and external stakeholders
