    Job Description

    As one of the fastest-growing brokerages in the Baltimore Metropolitan area, Northrop Realty is in need of an extremely skilled and exceptionally motivated C-Level Executive Assistant. The ideal candidate will report directly to the Chief Growth Officer and will provide in-depth executive support to not only the Chief Growth Officer, but to all Executive Leadership members, in a fast-paced highly collaborative working environment.

    The focus of this role will be to enhance the effectiveness of the Chief Growth Officer and other Executive Leadership members in a central role. This role will require a rare unicorn who is extremely passionate, hard-working and willing to wear multiple hats at a moment’s notice. The top candidate will have a professional presentation, seamless communication skills, the ability to efficiently prioritize priorities, and be able to handle confidential and complex situations with ease. Extreme attention to detail and a devotion to producing a near if not perfect outcome should be on the forefront.

    The candidate should be able to navigate research and development opportunities with ease and be able to create and execute processes, systems and models as necessary. The C-Level Executive Assistant will be both dynamic and astute in order to achieve outlined goals. From information gathering to tracking project timelines to driving initiatives to completion, the C-Level Executive Assistant understands the expectation level needed to continue the success of the brokerage.

    The C-Level Executive Assistant will also serve as a liaison to members of the brokerage; organize and coordinate executive outreach and external relation efforts and oversee special projects. The candidate must be creative and enjoy working within a high-growth environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
    • Organize and sustain complex calendars and schedules; resolving any scheduling issues for the Executive Leadership Team.
    • Utilize sophisticated skills in Word, Excel, PowerPoint to create presentations, executive agendas, reports, special projects and other documents in support of objectives for the organization.
    • Be technologically savvy with a power to quickly learn and adapt to web-based software applications for creative design or email marketing.
    • Anticipate the needs of the Chief Growth Officer and Executive Leadership team by being proactive in all aspects.
    • Be able to craft and prepare professional correspondence for internal announcements, meetings, and events.
    • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
    • Conserve the Chief Growth Officer’s time by reading, researching, collecting and analyzing information as needed. 
    • Represent the company and the Executives in a positive light through great follow-through skills and sound judgment.
    • Participate, coordinate and/or oversee new training initiatives, brokerage-wide roll outs and facility management.
    • Arrange travel and accommodations for executives as needed.
    • Ability to function well in an extremely fast-paced environment with a high expectation level.
    • Complete ad hoc projects and other duties as assigned.

  • Qualifications

    Qualifications

    • Real Estate background preferred.
    • Minimum of 5 to 7 years operating in a C-Level Executive Assistant capacity.
    • Ability to integrate seamlessly into a close-knit Executive Team environment.
    • Handle highly confidential information and sensitive document preparation with a high degree of discretion and confidentiality.
    • Possess impeccable time management and organizational skills.
    • Be a self-starter with the ability to take proactive initiative on new projects and/or tasks.
    • Have flawless written and verbal communication skills.
    • Ability to multi-task and be meticulous with details.
    • Ability to perform well with ever-changing needs in a high-pressure environment.
    • Expert in Microsoft Office Suite, Outlook and G-Suite.
