Accounts Receivable Finance Specialist
Job Description
The Finance Specialist will be responsible for various tasks related to managing the accounts receivable process, including cash application, client invoicing, client dispute management, internal reporting, and aging invoice management. The ideal candidate will have strong analytical skills, excellent communication abilities, and a thorough understanding of accounting principles.
ESSENTIAL JOB FUNCTIONS:
· Generate and distribute client invoices in a timely manner, ensuring accuracy and adherence to contractual terms.
· Verify invoice accuracy by reviewing work orders, contracts, and other supporting documents.
· Collaborate with the Client Services and Vendor Management teams to resolve any invoicing discrepancies or issues.
· Investigate and resolve client disputes or billing discrepancies, ensuring prompt and satisfactory resolution.
· Communicate with clients to understand the nature of the dispute and work towards a mutually agreeable solution.
· Coordinate with internal stakeholders, such as the Client Services team, to address and resolve disputes effectively.
· Accurately apply incoming payments to customer accounts in a timely manner.
· Reconcile discrepancies and resolve issues related to payment applications.
· Maintain accurate records of cash receipts and update the accounting system accordingly.
· Prepare and analyze accounts receivable reports, aging summaries, and related financial data.
· Generate periodic reports for management, providing insights into outstanding invoices, payment trends, and cash flow.
· Monitor and manage the aging of customer invoices, ensuring timely collections.
· Proactively communicate with clients to follow up on overdue payments and resolve outstanding issues.
· Reconcile discrepancies and resolve issues related to payment applications.
· Regular and predictable attendance and punctuality are essential functions of the position.
· Other tasks as assigned.
EDUCATION & EXPERIENCE:
Bachelor's degree in accounting, finance, or a related field (preferred, but not required).
Proven experience in accounts receivable or a similar finance role.
Strong knowledge of accounting principles and financial processes.
Excellent attention to detail and problem-solving skills.
Effective communication and interpersonal skills.
Ability to work independently and meet deadlines.
Proficient in Microsoft Excel and working knowledge of relevant software (e.g., Salesforce, Yardi (VendorCafe), LoanSphere Invoicing will be appreciated.Excellent oral and written communication skills
Excellent organizational skills and able to work in a fast passed and fluid environment.
Detailed and process oriented with an ability to multi-task.
Attention to detail and analytical thinking.
TRAVEL: Is travel required (No)
PHYSICAL DEMANDS: This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. While performing the duties of this job, the employee is frequently required to sit, talk, type and hear.
WORK ENVIRONMENT: This job operates in a professional indoor office environment. The noise level in the work environment is usually quiet while in the office and moderately louder during a meeting or company event. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
