    Job Summary

    This position acts as the focal point of communications and activities within the NWE Management operation, and presents the community – our visitors, customers, clients, and vendors – with the public face of the company. The position is responsible for daily interaction with the community in a variety of transactions, and coordinates communication and activities for property management and maintenance

    operations.

    Essential Functions

    1. Answer and direct telephone callers using a multiline business telephone system.

    2. Schedule appointments regarding apartment rentals, accept applications for rentals, maintain vacancy lists, monitor websites, and accumulate data for processing, and assist with bank deposits.

    3. Receive all requests for maintenance from tenants and answering service and prepare work orders for maintenance personnel. Direct and coordinate maintenance and service calls throughout the day.

    4. Process all incoming and outgoing mail and deliveries throughout the day including Fed Ex as necessary. Prepare outgoing mail for pickup, including operation of postage meter and monitoring postage levels.

    5. Respond to inquiries regarding apartment rentals and accept and screen applications for rentals.

    6. Greet and direct all visitors to the business in a friendly and professional manner.

    7. Insure that the business office is opened for operation each business day.

    8. Distribute faxes to recipients.

    9. Accept and process payments for rent, application fees, security deposits, and other related charges.

    10. Account for all payments received on a daily basis, including cash and checks.

    11. Process all daily bank deposits for pickup by armored car service.

    12. Maintain all office supplies and forms by monitoring supply levels, processing supply requests, ordering and receiving supplies, and restocking and distributing supplies as they are received.

    13. Coordinate all supply and service issues for office equipment such as copiers, printers, fax machine, and postage meter.

    14. Monitor and confirm the switchover of utilities as rental properties are turned over.

    15. Review police reports for activity related to managed properties.

    16. Review and compile maintenance time sheets.

    17. Issue and receive keys for managed properties for tenants, maintenance, and vendors. Insure that key inventory is accurately maintained and that all keys are properly accounted for.

    Working Conditions & Physical Requirements

    Duties are performed indoors in an office setting.

    Duties require extended periods of sitting, standing, talking or listening, and using hands to operate office and computer equipment or tools.

    Duties require occasional periods of lifting or carrying items, reaching with hands and arms, and stooping, kneeling or crouching.

    Weights up to 20 pounds may be encountered.

    Vision requirements include close vision and ability to adjust focus for reading and processing paperwork, operating computers, and using office equipment.

    Duties will include exposure to certain cleaning and office equipment-related chemicals and compounds, as well as exposure to certain operating office equipment.

    Hazards should be minor and controllable, but may include exposure to angry tenants or customers.

    Noise levels are typically moderate.

    Required Knowledge and Skills

    Must be very proficient in operating personal computers, and applications such as Microsoft Word, Excel, Outlook, and Internet Browsers.

    Must be able to accurately and productively handle and process monetary transactions.

    Must be able to perform basic math functions such as adding, subtracting, multiplication and division.

    Must be able to read, write, and speak English proficiently. Must be able to communicate clearly both orally and in writing.

    Must be able to interact with employees, tenants, potential tenants, and contractors in a friendly and professional manner.

    Must be able to maintain an even temperament in potentially heated situations and work closely with other employees in a friendly and professional manner.

    Required Experience and Education

    Must have at least a high school diploma or equivalent.

    Two years of experience in an administrative position.

    Must be willing to learn and understand Federal fair housing rules and regulations and implement such for use in the daily interaction with current and potential tenants.

    Compensation: $17.00 - $19.00 per hour
