The Pharmacy Analytics Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.
Under the direction of the Manager, the Pharmacy Analytics Coordinator acts in a lead role on behalf of the Pharmacy Inventory Billing department. This position has the authority and accountability for facilitating the delivery of quality service for the department inventory and purchasing functions. This individual coordinates staff to accomplish the daily tasks.
The Pharmacy Analytics Coordinator maintains adequate inventory of pharmaceuticals as well as the computerized drug master files. This role maintains controlled drug stock and all associated record keeping. The Coordinator reports all discrepancies in the pharmacy storeroom to the Managers and Directors.
** Responsibilities** :
- Demonstrates advanced knowledge of pharmacy supply chain management and procurement practices.
- Maintains good communication with Accounts Payable in resolving errors.
- Ensures that floor stock and pharmacy stock requests are filled accurately and in a timely fashion.
- Maintains an understanding of 340B program operations.
- Assists with vendor payment and resolution of payment inquiries.
- Receives pharmaceuticals into the storeroom.
- Maintains the security of the storeroom.
- Maintains the control drug and tax-free alcohol inventory levels and prepares distribution records and audit reports.
- Organizes and controls purchase records, return goods, and emergency shipments. In conjunction with the Drug Information Center, processes all drug recalls and maintains necessary records.
- Purchases pharmaceuticals from the wholesale distributor and prepares requests for purchase for forwarding to Purchasing for direct suppliers.
- Coordinates consignment inventory to ensure proper replenishment and serves as liaison for consignment programs.
- Assists with scheduling and distribution of pharmaceuticals to offsite locations.
- Schedules the processing and return of recalled pharmaceuticals to outside vendors and maintains appropriate records.
- Maintains Drug Supply Chain Security Act (DSCSA) program.
- Demonstrates proficiency in the use of PeopleSoft Procurement.
- Reviews contracts and pricing agreements.
- Maintains inventory of medications and other designated supplies for use in the department and throughout the hospital.
- Identifies and communicates key issues and trends to manager.
- Functions as the “super user” of the inventory computer system, ensuring that the correct products are selected, that inventory levels are correct, and prices are accurate. Identifies system problems and works with the systems programmer to resolve issues.
- Develops and maintains relationships with all customers and suppliers.
- Ensures that service standards are maintained and evaluated.
- Participates in planning and maintenance of the pharmacy information systems.
- Provides on-call coverage, as needed.
- Actively participates in drug shortage committee.
- Provides information to manager on budget issues, especially staffing and cost containment strategies.
- Reconciles statistics and adheres to cost management standards.
- Maintains productivity standards.
- Participates in preparation of major equipment purchase proposals, selection, and documents for equipment acquisition.
- Participates in facility changes and planning.
- Establishes and executes personal development objectives as part of annual objective setting.
- Coordinates critical situations involving patients, staff, and visitors and consults with manager for guidance as needed.
- Facilitates effective interdepartmental communication of incidents with appropriate personnel.
- Ensures compliance with hazardous waste collection and disposal.
- Participates in pharmacy department scheduled inventory.
- Develops, implements, maintains, and coordinates the use of pharmacy inventory management and dispensing automation.
- Contributes to opportunities and processes for continuous improvement.
Quality Management Responsibilities:
- Assists in maintaining quality management system that allows for consistent evaluation and improvement of services in relation to institutional requirements. Documents all significant activities and takes corrective action as necessary.
- Assists in maintaining quality data collection systems that enable monitoring of service levels.
- Maintains knowledge and uses appropriate resources to provide educational, technical, or information services as needed.
- Facilitates staff understanding of department performance standards.
- Ensures that the environment is clean, safe, and free from hazards.
