  • Responsibilities

    JOB FUNCTION:

    This position is responsible for assisting in planning, organizing, coordinating and controlling all administrative aspects of branch/plant operations in support and conjunction with the Office Manager.

    ESSENTIAL FUNCTIONS:

    1. Review and filing of quotes, purchase orders, contracts and invoices (some previous experience preferred)

      1. The review would primarily be to ensure that work orders and invoices are billed in accordance with quotes, PO’s and contracts.
      2. Copy, scanning and other various administrative tasks included.
    2. Communication with internal and external customers

      1. Salespeople, logistics/dispatch, regional / plant managers and external customers.
      2. Data entry and receiving into customer-specific invoicing portals (Ariba, Taulia, etc.); Data entry with MPW-specific programs (Customer Rates, WMC, etc.)
    3. Process credit adjustments, invoice corrections and resubmit invoices, as needed.

    4. Handle ad hoc requests from salespeople, customers and other MPW personnel.

     

    OTHER REQUIREMENTS:

    1. Attention to detail, accuracy, self-motivated, deadline driven, multi-task ability
    2. Intermediate computer skills and the ability to learn new, custom programs (WMC, Customer Rates, Mobile DI App, etc.).

    4. Innovation: Generating creative solutions to work situations and equipment design. 
    5. Developing Organizational Talent: Developing direct reports’ skills and competencies by planning effective development activities related to current and future department needs.
    6. Customer Service Orientation: Proactively developing customer relationships by making efforts to listen and understand the customer (both internal and external); anticipating and providing solutions to customer needs; giving high priority to customer satisfaction.

    Required Experience

    1. High School Diploma acceptable.
    2. Experience in Microsoft Office (Word, Excel, Access) a must.
    3. Professional oral and written interpersonal communication.
    4. Experience in HR, Procurement, and Customer Billing/Collection.
    5. Ability to perform and understand written and verbal instruction.
    6. Demonstrates a considerate, friendly, and constructive attitude towards fellow employees and customers.
    7. 1-3 years’ experience in office administration.
