  • Responsibilities

    Legal Admin:

    1. Document management – filing, renaming documents, calendaring deadlines

      1. Our servers are online, so hard copy filing will be very rare and dependent upon the border opening.

      2. This will require being able to interpret and derive information from agency notices including but not limited to: issuing agency, client name, deadlines, next steps. We use Outlook for our calendar.

      3. This will require making the team aware of any deadlines or notices received that require a response, as well as uploading documents to our online client database, MyCase.

      4. This may also require saving and renaming client documents from emails in their respective folders and alerting the team to documents received, as well as PDF printing documents to save in correspondence folders.

    2. Some experience with federal and state tax issues as well as SBA regulations.

      1. Assisting in researching and drafting memorandum on various federal and state tax issues, including criminal tax matters.

      2. Preparing bank deposit analysis for cases under exam.

      3. Work with attorneys to develop legal theories and defenses and use evidence to support strategies.

      4. Work with our attorneys and paralegals to analyze financial records and tax returns to identify key evidence; summarize the evidence and financial data in excel in a format that conveys important points to be submitted to the government and/or client.

    3. Fielding calls and emails with clients that contain confidential information

      1. We use 8x8 voiceover IP for our phone and fax system and Outlook for emails.

      2. This will require taking down basic caller information (name, phone number, email address, description of their matter) and scheduling a call with an attorney to discuss their matter further.

      3. This will require a secure location and password protected computer and internet connections for confidentiality.

    4. Coordinate and calendar appointments and deadlines using Outlook

      1. This will require communication with clients and the team, as well as with government agencies.

    5. Draft and send basic faxes and letter to clients and government agencies

      1. This will require proficiency in written communication.

      2. This will also require printing fax confirmations to PDF and stitching them to faxes that were sent. Then, the faxes with confirmations will need to be filed in their respective client folders.

    6. Must have soft skills: detail-oriented, proactive, highly organized, communicative

    7. Must have experience in: administrative duties, customer service, MS Outlook, MS Excel, MS Word, Adobe

    8. Preferred experience/knowledge: 8x8 VOIP system, legal administrative duties, basic marketing, basic business development

    Skills:

    • Experience with business transactions – i.e. purchasing, inventory and customer service.

    • Some experience in reviewing and analyzing business financials

    • High attention to detail

    • Proactive
