    OCF Realty is a leading property management firm based in Philadelphia that is committed to providing exceptional services across a diverse portfolio of residential properties. We are currently seeking a highly skilled Maintenance Manager to join our team. In this role, you will be a key member of our Property Management team, responsible for overseeing the timely resolution of tenant-submitted maintenance requests across a portion of our 3,000-unit portfolio. This role demands a hands-on approach to properly diagnose issues, leading to efficient outcomes and the satisfaction of both the owner and the tenant. You'll prioritize speed of service, efficient scheduling, and timely communication, Furthermore, this role requires a proactive and preventive maintenance strategy that focuses on the long-term health of the property. If you’re highly organized, have excellent follow-up skills, are experienced in property management and maintenance, and enjoy problem-solving, you may be an excellent fit for this role. This position offers a salary of $55,000-$65,000 commensurate with experience and includes a comprehensive benefits package that includes paid time off, medical and dental insurance, and 401k matching. Responsibilities: • Utilize Appfolio software to efficiently manage and track all maintenance requests. • Take a proactive diagnostic approach, pushing for photos and details, and calling tenants to gather as much information as possible for an accurate assessment • Visit the property when repairs are not obvious or when uncertainty arises to reduce the possibility of misdiagnosing and assigning the wrong technician • Coordinate with in-house maintenance technicians and third-party vendors to prioritize and schedule repairs based on urgency and severity. • Organize the schedule of in-house maintenance technicians effectively, grouping repairs together geographically to minimize travel and create synergy. • Use the Appfolio platform to provide real-time updates to tenants regarding the status of their maintenance requests and conduct follow-ups with tenants after repairs to ensure satisfaction with the resolution. • Analyze recurring maintenance issues and collaborate with the maintenance team to develop proactive solutions. • Collaborate with property owners to gain approval for necessary repairs, maintenance projects, and capital improvements. • Ensure vendors adhere to contractual agreements, deliver high-quality services, and represent the owners' best interests. • Close work orders according to established procedures, ensuring consistency and timeliness. • Conduct regular property inspections to assess the overall condition and identify maintenance needs, providing regular property condition reports to owners, and outlining observations, recommended actions, and progress on identified issues. • Participate in scheduled portfolio calls with property owners to discuss property health, ongoing maintenance projects, completed repairs, and emerging issues. • Manage all building-wide communication with tenants, informing them of important notices and updates regarding the property • Coordinate key access to vendors & technicians performing scheduled repairs, using the AssetPanda inventory system to track and monitor keys across your property group. Qualifications: • 3 years prior experience working in Property Management • 2+ years prior experience in a demanding role managing emails, databases, and time-sensitive tasks • Keen eye for spotting and diagnosing maintenance issues, and ability to quantify the problem • General knowledge of maintenance processes and methods such as repairs of HVAC, plumbing, appliances, and electrical equipment • Ability to provide excellent customer service while working under pressure • Ability to maintain a positive, productive relationship with contractors and tenants You will thrive in this position if you: • Are cooperative and flexible.
