    POSITION: FULL TIME

    COMPENSATION: $20/HR

    WORKING HOURS: M-F shifts 7 AM - 3 PM or 9 AM - 5 PM (with the exception of the occasional weekend and or after hours on-site or off-site event)

    The Operations Coordinator plays a critical role in maximizing efficiency within the organization. They are responsible for completing administrative tasks related to day-to-day operations, working directly with senior management to ensure smooth workflow, collaborating with other departments within Emjaye Inspired, and more. By utilizing their interpersonal skills, communication, and project management skills, a successful Operations Coordinator will develop strategies to bridge the gap between office and kitchen departments to enhance company performance levels.

    The ideal candidate has an eagerness to constantly observe and improve organizational goals and processes, ensuring that all aspects, of the operation are running smoothly, efficiently and on time. Scheduling maintenance and delivery coordination management is key for this position.

    QUALIFICATIONS:

    2+ years Operations Coordinator or in a similar role preferred

    Exceptional interpersonal, communication, and project management skills

    Knowledge of supply sources is a plus

    Knowledge of and ability to leverage technology to maximize operational efficiency

    Proficient with the Microsoft Office Suite, Google Suite - Experience with Slack, Asana, 17 Hats and Mastermind are preferred

    Attention to detail and ability to multitask

    Excellent high touch customer service for internal and external customers

    Must be able to work in a fast-paced, dynamic environment, flexibility to adapt to changing conditions and frequent interruptions

    Ability to work cooperatively while not under direct supervision with a strong work ethic and integrity

    Possess tact, poise and diplomacy with a diverse population in a demanding environment

    Takes initiative with the ability to reason logically, draw valid conclusions and make appropriate recommendations

    Detail oriented, strong organizational skills

    Ability to communicate effectively in English, both oral and written (Bilingual is a plus)

    RESPONSIBILITIES (INCLUDED BUT NOT LIMITED TO):

    ADMINISTRATION & PERSONNEL MANAGEMENT

    Assisting with recruiting, training, and supervising staff in the daily operation of the facility, the coordination and execution of all events

    Participate in staff meetings to review upcoming activities, discuss past events and solicit feedback on how to improve service or delivery

    Assist senior management with scheduling and calendar maintenance across multiple platforms

    Assist senior management in liaising suppliers and contractors as needed.

    Carry out a majority of clerical duties as needed by senior management ensuring all compliance paperwork is up to date

    COMMUNICATION

    Working well in a team environment with a self-starter, positive and cooperative attitude/disposition being respectful, prompt and effective

    Maintenance of inventory and communication with direct supervisor for any needs

    Comfortability and availability for potential communications outside of working hours as well as being included in a group chat with the E.I. team for event prep, concerns and questions, general updates, etc.

    Leading training sessions as needed (ex: sexual harassment, coffee bar, event set up and breakdown, etc.)

    FOOD SAFETY/PREP

    Practicing FIFO when replenishing backstock, beverages, or snacks.

    Appropriate work attire dependent on location

    Proper food handling and temperature of all products in accordance with compliance regulations

    Overall safety and sanitation both for the working space(s) and on your person

    COFFEE HOUSE SERVICES

    Servicing the barista station while maintaining customer service standards and providing prompt but courteous service

    Setting up the next shift for success

    Tracking inventory and consumption on appropriate docs

    Attention to detail, consistency, and quality for beverage services

    Adhering to the provided daily, weekly, and as needed task sheets provided by the direct supervisor

    Overall multitasking: Restocking, inventory counts and management, preparing beverages, assisting guests with questions, maintaining a clean work station and display areas

    CATERING SERVICES

    Operating and assembling hot equipment; i.e. sternos, chafing dishes, serving dishes, etc.

    Reading and comprehending catering orders in order to plan with the direct supervisor for food and set-up components

    Maintenance of food quality and execution that meets Emjaye Inspired standard(s).

    Set up and arrangement of events; i.e. the ability to be mindful and implement artistic skill when preparing in relation to event location, arrangement sizing and display, allergens, themes and color schemes, etc.

    Ensuring client satisfaction and maintaining relationship(s) with said or new clients while reflecting Emjaye Inspired mission statement

    Comfortability with floral and greenery arrangements for catering set ups.

    Expedite programs seamlessly:

    Comprehend information from the Pack List & written descriptions for items

    Ensuring all items on a program are executed accordingly

    Double check/monitor all packed items as orders leave off-site/as they are ready to be set up for a program

    Proactivity in packing and planning all necessary items for programs; both FOH & BOH related

    Coordinating drivers, deliveries, pick ups, timing, etc. for all programs daily with respect to other parts of the operation such as Emjaye's Coffee House and Emjaye's Cafe and Grill

    Miscellaneous

    Keen attention to detail and the ability to work in an expeditious manner without compromising quality

    Maintaining a flexible schedule dependent on event and corporate account needs

    Physical strength and competence; i.e. the ability to stand for long periods of time and the ability to lift 50 pounds

    Comfortability with driving Emjaye Inspired company vehicles

    Other duties as assigned
