Job Description
OPPO U.S. Research Center is looking for a responsible and self-motivated Office Manager/Chief of Staff to perform a variety of administrative and clerical tasks. Duties include providing support to managers, tech leads, and employees, assisting in daily office needs and managing companys general administrative activities. This position will be based at San Diego, CA and will be interacting with all levels of management.
RESPONSIBILITIES:
- Lead other office admin assistants and manage organizational and clerical support tasks to maintain an efficient, nice, and tidy office environment. Perform all administrative day-to-day duties, including office renovation, employee seats set up, etc., and ensure that office is operating smoothly.
- Act as external interface maintain good relationships with customers, contractors, service providers, and vendors.
- Maintain inventory and conduct purchasing of all office supplies and process purchase requests from employees. Prepare and track purchase orders and ensure on-time delivery all purchases. Help track office expenses.
- Organize, schedule, and prepare meetings and appointments, including but not limited to maintain conference rooms, take meeting minutes, prepare meeting needs, and arrange caterings.
- Book and manage travel arrangements for senior managers, guests, and customers. Receive invoices and complete expense report.
- Plan and organize team-build events for >100 employees.
- Work with HR team, arrange employee onboarding and offboarding. Perform other HR related activities as needed.
- Assists executives with duties on an as needed basis.
REQUIREMENTS
QUALIFICATIONS:
- Mandarin Chinese Speaking is highly preferred
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to details and excellent problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Bachelors degree required.
- Previous Office Manager experience with High- Tech Company highly preferred.
