    Job Description

    We are seeking to add an Office Assistant who can assist and coordinate with Freight Fowarder, Data Entry, Customer Service, and account reconciliation to our team! You will be responsible for accurate data entry, file maintenance, account reconciliation, and record-keeping and other task assigned. Our company is a manufacturer and distributor of kitchen and home storage housewares. We are looking for self-motivated candidates to join our team. The potential candidate will handle and follow up on customer service issues, data entry, etc. for dot com and retail accounts. You will provide excellent customer service by communicating with customers when issues with orders arise but not limited to other areas.

    This is a part time position and could become a full-time position

    Part-time Hours:

    Monday Thur Friday 8:00 am to 1:00 pm

    RESPONSIBILITIES:

    • Enter, research, and analysis on a variety of data using excel, QuickBooks, and other current technology
    • Prepare and sort documents for data entry
    • Coordinate with Freight forwarder and enter data into excel accurately
    • Coordinate arrival of import containers with trucking and warehouse, prepare container document for warehouse
    • Create and maintain logs for tracking purposes
    • Prepare Packing List and sort Shipping Labels
    • Review and enter data updates in the systems
    • Review discrepancies in data received
    • Advise supervisor of issues related to data
    • Communicate with customers, carriers via phone and email
    • Coordinate pickup time with the carrier, follow up with pending shipments that are past the pickup time frame
    • Support other associates if needed
    • Update inventory levels for all assigned accounts
    • Communicate with warehouse
    • Respond to customers order relates inquiries and address customer satisfaction (phone & email)
    • Meet quality, productivity, turnaround time, and other expectations
    • Work well under pressure and maintain professionalism during a stressful situation
    • Data/Accounting Reconciliation
    • Coordinate with trucker carrier pickup time and communicate to warehouse
    • Audit existing product listings for accuracy and make a recommendation for improvement
    • Responsible for product launch strategy including timely item set-up, reviews.
    • Other duties as assigned

    QUALIFICATIONS:

    • Previous experience in wholesale and import and export or other related fields preferred
    • Previous experience in QuickBooks, FedEx Ship Manager, marketplace platform, e-commerce field preferred
    • Understand Vendor and Retailer relationship
    • Must be computer savvy and a quick learner in using new software.
    • Experience in Microsoft Excel including key functions to cross-reference, verify, lookup. Ex. Vlookup, if statement but not limited to other key functions preferred
    • Multi-tasking, punctual, able to use limited information to figure out a solution
    • Excellent typing skills - at least 60 WPM
    • Strong organizational skills and Strong problem-solving skills
    • Deadline and detail-oriented
    • Willing to train
    • Excellent verbal and written communication skills
    • Strong analytical and math skills to calculate figures and amounts such as discounts and percentages
    • Excellent data entry skills to quickly and accurately review and input data
    • Ability to speak, read and write English-clear and concise business communications
    • Ability to work independently, rank priorities, and execute accordingly. Flexibility is important.
    • Fast learner. Ability to work in a fast-paced environment
    • Previous experience working in Vendor Central, Seller Central, other Marketplace, Shopify, and Commerce Hub if preferred
    • Experience with processing orders for B2B and B2C
    • Monitors own work to ensure quality; Looks for ways to improve quality
    • Happy and Cheerful attitude
    • Bilingual English and Chinese preferred
