    The Center of Digital and Data Excellence (CoDE) at PATH works with government ministries of health, the private sector, and donors to strengthen the use of digital technologies and data for improved health services. Digital Square is one of CoDE’s flagship global initiatives. It is PATH-led and funded by multiple donors, including USAID and the Bill & Melinda Gates Foundation, to advance digitally enabled health services to help close the health equity gap. Conceived from the lessons of the inefficiencies and redundancies of prior investments in digital technologies for international development, Digital Square works with ministries of health to align adaptable, interoperable digital technologies with local health needs and brings partners together to improve how the global community designs, uses, and pays for digital health tools and approaches.

     

    PATH is currently recruiting for a Program Assistant for its Digital Square team. The Program Assistant will support the Senior Project Administrator (PADM) and Project Manager and provide administrative and logistical support to ensure smooth project implementation. This position provides the opportunity to develop project management skills and research experience in a large international NGO while providing essential coordination and support to project staff.

     

    RESPONSIBILITIES:

    • Communications:
      • Assist with formatting and proofreading documents, presentations, tools, guidance, reports, and other communication materials.
      • Assist with project communications including researching dissemination channels and assisting with donor reporting.
      • Draft external communications and messaging for review by leadership.
      • Provide administrative support during review of incoming proposals.
    • Scheduling and Logistics:
      • Schedule and coordinate internal and external meetings and events including logistics, agenda preparation/circulation, scheduling, compiling and organizing relevant meeting materials, coordinating technology to accommodate remote participation, capturing and disseminating meeting minutes, and tracking action items and follow-up activities, as directed.
      • Support hiring managers with scheduling onboarding sessions and introduction of new staff to team sites and resources.
    • Knowledge Management
      • File key documents and support maintenance of knowledge management systems in accordance with established structures.
      • Maintain project file systems (SharePoint) and procedures and tracking of technical reports.
    • Contractual:
      • Assist with completion of administrative forms, including supply request forms, check requests, and reimbursement forms.
      • Create vendor and subaward records in SalesForce and PATH’s financial system.
      • Create and maintain subaward tracking sheets in SmartSheet and grant management tools.
      • Submit payments in SalesForce for approved deliverables and invoices.
    • General:
      • Collaborate with Digital Health Program Assistants to ensure smooth coordination of team schedule and project activities in different offices.
      • Organize travel, as required.
      • Perform other tasks as assigned, and in alignment with team priorities.

     

    Required Skills Required Experience

     

     

    • Bachelor's degree plus a minimum of 1 year of directly related administrative experience or an equivalent combination of education and experience
    • Demonstrated ability to edit and proofread documents, such as proposals and research grants
    • Experience coordinating calendars, organizing workshops, and aligning timelines
    • Experience drafting correspondence for senior executives and interacting with funders and donors
    • Experience working with cloud-based collaboration tools including Slack, SmartSheet, Salesforce, and SharePoint
    • Advanced MS Office skills with Outlook, Excel, PowerPoint and Word required
    • Ability to work collaboratively with diverse teams, including over geographical distance and time zones
    • Team-focused and collegial with a diplomatic and adaptive communications style
    • Well organized and adaptable to handling multiple and changing priorities
    • Effective in time management and working under deadlines
    • Fluency in English, including strong written and oral communication skills
    • Cover letter required
    • Must have legal authorization to work in the U.S.

     

     

    REMOTE WORK:

    PATH continues to evolve to support our employees during the COVID-19 pandemic. Currently, most of PATH’s US based positions are temporarily 100% remote, within commuting distance to our PATH offices. When PATH transitions more broadly to in-person work, we will operate with a hybrid workplace model. Hybrid employees must reside within commuting distance to one of our PATH offices. PATH’s US offices are located in Seattle, WA and Washington, D.C.

     

    COVID-19 VACCINE REQUIREMENT:

    PATH has instituted a COVID-19 vaccine mandate for all employees, interns, consultants, and temporary staff based in the United States. Individuals selected for job opportunities in the United States must be fully vaccinated, and show proof of vaccination status, upon hire. Individuals are considered fully vaccinated 2 weeks after their second dose in a 2-dose series, such as Pfizer or Moderna, or 2 weeks after a single-dose vaccine, such as Johnson & Johnson. Individuals with medical issues or sincerely held religious beliefs that prevent them from getting the vaccine may request an exemption from the vaccine requirement.
