    Our Human Resources department has an opportunity for an EXECUTIVE ASSISTANT.  In this position you will support the SVP & Chief Human Resources Officer (CHRO) and other members of the HR Leadership Team (HRLT), by providing professional and high quality administrative support in a dynamic, collaborative and caring environment. You will also administer HR programs and organize associate events.

     

    KEY ACCOUNTABILITIES:

     

    Coordinate and manage calendars, meetings, events, and travel in line with functional priorities and schedules for CHRO, and to a lesser extent, the HRLT, including:

    • Helping plan and manage CHRO calendar consistent with priorities
    • Taking initiative and utilizing a high degree of self-direction to collect, track, synthesize, and prioritize confidential/critical information
    • Providing complex level of meeting management including scheduling, logistics and preparations
    • Creating and managing agendas and materials for various meetings
    • Helping prepare and coordinate, distribute materials, and track follow-ups
    • Manage CHRO email inbox - prioritize key messages and delete external messages
    • Support CHRO and HR team in becoming predominantly paper-free and utilizing technology to streamline processes and improve the employee experience
    • Assist with Excel workbooks and PowerPoint presentations

    Administer HR programs, including Service Recognition, Tuition Reimbursement, Insurance Education, Professional Education/Certification Reimbursement. Provide support with printing, mailing, etc. for programs.

    Perform special assignments and projects supporting HR and talent initiatives related to Talent Acquisition, Learning & Development and Compensation & Benefits.

    Plan and coordinate associate events, including United Way campaign, Associate Picnic, and Holiday Breakfast.

    Supports HR team at headquarters, including:

    • welcoming employee visitors and answering basic employee inquiries
    • providing office support, including work space (in partnership with Facilities), technology and office equipment (in partnership with IT) and office supplies.

    Prepare and/or coordinate payment of invoices and expense reports. Maintain, track, reconcile and/or submit expense reports, allocation of charges, and monthly credit card statements. Review travel & Expense submissions for adhere to company policies and waive any discrepancies for correction.

     

    REQUIREMENTS:

     

    • 4 years’ experience working directly for a senior executive in a mid-size or large organization required
    • Outstanding organizational, planning and prioritization skills, and ability to multi-task to manage/prioritize multiple projects simultaneously required
    • Strong collaboration and interpersonal skills with ability to work well with all levels of employees required
    • Exceptional technology skills and digital savvy; able to support becoming paper-free, utilizing technology for document management, team collaboration, etc. required
    • High level of demonstrated integrity and confidentiality; comfort dealing with highly sensitive data and employee situations and maintaining confidentiality required
    • Strong problem solving and critical thinking skills, using logic and reasoning to foresee and identify potential problems and proactively take steps to remedy the issues required
    • Strong proficiency in Microsoft Office, specifically Outlook, Word, Excel, PowerPoint required
    • Comfortable being largely self-directed  required
    • Strong detail orientation, placing a high priority on accuracy required
    • Event planning experience required
    • Basic analytical skills; the ability to identify trends in data; develop useful comparisons of data, etc.  required
    • Ability to meet deadlines with strong follow-up skills  required
    • Strong communication (verbal and written) skills required
    • Experience working in a Human Resources team or role preferred
    • Experience with Workday reporting preferred
    • Experience with Microsoft Teams and OneNote preferred
    • Associates or Bachelor's Degree preferred

  • Qualifications

    Bachelor's degree, strong writing, communication and analytical skills, and three to five years of experience, preferably in an academic environment.
