    PATH is currently recruiting for a Senior Program Assistant. The SENIOR PROGRAM ASSISTANT will be an integral part of cross-departmental projects and workstreams and must become well versed in the systems and technologies applied in these efforts. In addition, the Senior Program Assistant will provide administrative support to the Leadership Team of the Integrated Portfolio and Financial Management (IPFM) Group including meeting scheduling, travel and event arrangements, internal staff relations and correspondence.

    PATH’s Center for Vaccine Innovation and Access brings together our expertise across every stage of the long and complex process of vaccine research, development, and delivery to make lifesaving vaccines widely available to children and communities across the world. CVIA’s current portfolio encompasses more than two dozen vaccines either in development or already in use to protect against 17 different diseases. Our focus is on vaccines to address the leading diseases that claim children’s lives worldwide: pneumonia, diarrheal disease, and malaria; as well as other global health priorities, such as polio and meningitis. We work in partnership with national health ministries, pharmaceutical manufacturers, donors, international financing and regulatory organizations, and many others. PATH has led numerous global partnerships, including the award-winning Meningitis Vaccine Project and the Malaria Vaccine Initiative, which helped develop the first malaria vaccine candidate recommended for pilot implementation.


    • Provide administrative and technical support for departmental and cross-departmental projects and workstreams using project management tools and overseeing automated workflows.
    • Support administration of the Project Management System in Smartsheet, including, tracking licenses, onboarding/offboarding team members, assisting with staff training, and resource management.
    • Manage designated tasks for projects assigned by a member of the IPFM Leadership Team (LT).
    • Act as a resource for questions related to above mentioned projects and CVIA internal systems.
    • Provide administrative support for IPFM LT members, including scheduling meetings, preparing agendas, recording meeting minutes, tracking action items, maintaining organization of shared folders, and assisting LT members as needed.
    • Help manage the calendar of the IPFM leadership team, working with internal and external contacts to prioritize and schedule meetings and teleconferences; compile and organize relevant background materials for meetings; and monitor action items assigned and other follow-up activities.
    • Serve as lead organizer for IPFM team meetings and retreats.
    • Plan domestic and international travel for the IPFM LT, working with IPFM's Administrative Leader and internal travel management teams.
    • Assist the IPFM leadership team with organizing and submitting travel expenses.
    • Support knowledge management efforts within IPFM as needed.
    • Assist in the coordination and development of large documents including proposals, reports, tables, basic graphics, and PowerPoint presentations.
    • Assist the Global Head, IPFM, Global Head, FCAM (Finance and Contracts Management) and Directors of PPM and Commercialization toward ensuring positive staff relations, facilitating communication and participation, and in understanding and interpretation of PATH policies and procedures, as appropriate.
    • Support FCAM with financial tasks as needed, including basic reporting from BusinessWorld (PATH’s enterprise resource planning system) and SalesForce.

    Required Skills Required Experience

    • A bachelor’s degree plus a minimum of two years of directly related experience; or an equivalent combination of education and experience.
    • Proficiency in application of Microsoft Office Suite including Excel. Knowledge of Power Query and Pivot Tables a plus.
    • Proficiency in online collaboration tools such as SharePoint or Box.
    • Familiarity with Smartsheet, Tableau, and/or Salesforce desired.
    • Experience working with data, excellent attention to detail.
    • Proven success in drafting and editing documents; proofreading abilities a plus.
    • Excellent oral and written communications skills.
    • Strong interpersonal and organizational skills.
    • Proven success in working in a team environment with minimal supervision.
    • Proven effectiveness in prioritizing competing demands, maintaining confidentiality, and in adapting easily and quickly to changing priorities.
