Job Description
POSITION SUMMARY: The Purchasing Agent is responsible for creating purchase orders for the acquisition of materials. Researches, interviews, and negotiates with suppliers to obtain prices and specifications. Provides routine administrative support. Works under immediate supervision.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Performs general and program specific clerical functions (e.g. answering the telephones, distributing purchase orders, scheduling, copying, faxing, etc.) for the purpose of supporting departmental activities.
- Responds to inquiries of staff and administration for the purpose of providing information.
- Receiving data entry to support Accounting.
- Working with Account department regarding supplier and vendor invoices. Process and reconcile documents such as Packing List, invoices, vendor statements, maintain and file vendor’s records.
- Processes payments to vendors.
- Responsible to locate the most advantageous sources of supply, regarding price, availability, quality, etc., and complete purchases, rentals, etc. to obtain these products and services to support the daily requirements.
- Maintain proper stock levels to avoid production shortages.
- Take ownership of replacement costs accuracy to ensure the various systems are utilizing negotiated levels to maximize profitability.
- Review requisitions for authorization, completeness and accuracy.
- Maintain all necessary records of purchases, quotations, prices, and deliveries.
- Develops and controls working relationships with suppliers and with other departments within the organization.
- Coordinate necessary projects as directed by management to improve the overall efficiency of the purchasing function.
- Supervise and assist receiving data entry to support Accounting.
- Execute special projects as needed.
- Other tasks or duties as assigned by the Company

EDUCATION:
- High school degree and 5 years’ experience
