    We’re looking for a professional, proactive, highly organized executive assistant to play a key role in our growing team. You’ll be responsible for assisting our high-level executive with administrative duties such as making travel arrangements, overseeing itineraries, answering phone calls, and managing our office filing system. Responsibilities: • Support an executive with meeting preparation and take minutes • Oversee scheduling, including arranging accommodations and travel, managing itineraries, and setting up team meetings • Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive • Manage office duties such as organizing filing systems and ordering office equipment and supplies • Other assistant duties as assigned from executives such as pick up orders, and other personal assistant tasks Responsibilities (Tasks Associated with the Role) • Maintain Calendar and Scheduling for Executive - Gatekeeper • Manage Email Inbox for the Executive • Drive process creation for key Executive/EA processes • Lead Special Projects • Helping the Executive Prepare for Meetings • Proactively Evaluate and Manage the needs of the Executive • Manage Travel that makes it low resistance and lightweight for the Executive • Office Management - Maintain office supplies (paper goods, printer ink, coffee, etc), manage cleaning service, organize and distribute mail, sort company mail - followup as needed, and other things that arise in office management • Mentor and coach EAs around the company for other executives • Other Duties Lined out as needed by the Executive • Helping the Executive stay on his important habits and tasks • Ensuring the Executive is working on the most important priorities at all times with a clear schedule to accomplish them • Helping the Executive identify opportunities to delegate things to other team members proactively • Accompany Executive on key meetings and occasionally be in place of Executive on meetings • And other responsibilities as needed Results (Expected Accomplishments) • Keeping a seamless and organized schedule for the executive • Maintain a 24-hour response time or less for all emails asking for the Executive's reply • Ensure 100% of meetings on the Executive's schedule have agendas (Outcome, Agenda, Output, who on call, etc.) • Strive for 100% no conflicts on the calendar and all resolved at least 48 hours prior (including personal events) • Ensure consistent cadence for weekly communication This job description is not all-inclusive and certain activities, duties, or responsibilities may be required of the employee as needed. Qualifications: • At least 2+ years of experience as an executive assistant, or experience performing supportive duties • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills • Experience handling confidential information and adhering to strict deadlines • Familiar with Microsoft Office • Possess a high school diploma, G.E.D. or equivalent Requirements (Expected Proficiencies): • Great at working with a team • Experience supporting a high-level executive. • Possession of exceptional organizational skills and a strong attention to detail. • Superior written and verbal communication skills. • Able to maintain a high degree of confidentiality in all situations • Proficient in technology, google, asana, etc. • Ability to organize a priority-based daily workload • Able to meet deadlines in a fast-paced, quickly changing environment • Proactive approach to problem-solving with strong decision-making skills Compensation: $50,000 - $60,500 yearly
