    Job Description:

    We are seeking an experienced HOA Accounting Assistant to join our team. The HOA Accounting Assistant will be responsible for supporting the Accounting Department with various tasks including data entry, tax preparation, and preparing of financial statements.     Job Responsibilities:

    • Maintain precise and up-to-date financial records for multiple HOAs, including accounts payable, accounts receivable, and general ledger entries.
    • Generate accurate and timely monthly dues statements for all owners and assist in collection efforts, including mail outs as required.
    • Ensure the accuracy of expense coding, accounts payable preparation, and timely check issuance.
    • Oversee the onboarding process for newly acquired HOA clients, including transferring homeowners' accounts, budgets, AR/AP, bank accounts, vendor payments, and online portal setup.
    • Initiate necessary correspondence with banks and ensure prompt handling of banking items.
    • Perform monthly reconciliations, monitor cash flow, and reconcile cash accounts.
    • Produce monthly financial statements for multiple HOAs.
    • Assist with tax preparation and filing.
    • Assist with month-end and year-end closing processes.
    • Serve as Primary Administrator for the HOA Accounting Software.
    • Organize and maintain files in an orderly manner.
    • Demonstrate courteous and cooperative behavior when interacting with vendors and colleagues to promote a harmonious work environment.
    • Provide support to the accounting department by assisting with various administrative tasks.
    • Assist with answering phone calls and other clerical tasks as needed.

    HOA Accounting Assistant Requirements:

    • Bachelor's degree in accounting or equivalent, or 1-3 years of relevant experience in a multi-client HOA Accounting Department.
    • Proficiency in reconciling multiple bank accounts and preparing financial statements.
    • Strong aptitude for accurate data entry and record keeping.
    • Excellent communication, interpersonal, and time management skills.
    • Strong analytical and problem-solving skills.
