    Job Description

     OCEAN INC.IS LOOKING TO FILL TWO DATA ENTRY POSITIONS IN OUR GALLOWAY OFFICE AND ATLANTIC CITY OFFICE.

    SUMMARY

    The HEA Clerk will be directly responsible to HEA Site Supervisor at their assigned location for administering procedures

    and policies necessary for the effective and proper operation of the Home Energy Assistance Program.

    ESSENTIAL DUTIES & RESPONSIBILITIES

    The duties and responsibilities of the HEA Clerk shall include, but not necessarily be limited to the following:

    • Follow guidelines in Policy and Procedures manual.

    • Maintain financial records.

    • Ensures completeness and accuracy of information.

    • Responds appropriately when discrepancies are noted.

    • Maintain regular departmental filing and records.

    • Attends staff / department meetings, trainings and workshops as assigned.

    • Answer phones and provide exemplary customer service to clients with a proactive, can do attitude.

    • Be responsible for accurate data entry of Home Energy Assistance Program applications into the data entry system

    and CSST Program.

    • Create and maintain client files.

    • Be responsible for completing Home Energy Assistance applications.

    • Other duties as assigned that are deemed necessary for program operations.

    QUALIFICATIONS

    • High School Diploma or G.E.D. equivalency. Typing proficiency to 45 wpm. Must have experience with data entry and

    knowledge of the Internet and MS Access. Minimum one (1) year experience in high volume customer service. Valid NJ

    Driver's License and transportation. Must be able to lift at least 45 pounds.

    • Required to speak, read, and write English and Spanish (preferred)

    • Required to deal effectively with public and staff

    • Required to communicate and work with adults from diverse backgrounds

    • Required to communicate and work with children and adults from diverse backgrounds

    • Valid driver license and access to transportation as needed.

    SUPERVISORY RESPONSIBILITIES

    None

    PHYSICAL DEMANDS

    Visual and auditory acuity within professionally determined normal ranges, with correction if needed. Manual dexterity

    sufficient to operate a computer and other office equipment, including but not limited to, the telephone, fax machine,

    and copier. Must be able to travel , enter and exit a vehicle without assistance.

    The employee must regularly lift and/or move up to 10 pounds and frequently lift and/or move up to 45 pounds. A

    USPS Postal bin measures approx. L 18” x W 13” x D 11”. Weight-approx 25-30 lbs when filled with permanent file

    folders containing completed HEA applications for filing. Weight-approx 30-35 lbs when filled with HEA application with

    documents attached for processing.

    TRAINING

    • Core Curriculum (Paychex)

    • Agency assigned trainings including accounting software

    DECISION MAKING

    Ability to define problems collects data, establish facts and draw valid conclusions. Interpret an extensive variety of

    technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
