About the Role:

A SEED OF CHANGE Family Resources Center is looking for a motivated and organized Office Administrator Associate to join our compassionate team in Oceanside, CA. This is a fantastic opportunity to play a vital support role in a meaningful, people-centered environment where your work directly contributes to the well-being of clients and the smooth operation of our practice.

Responsibilities:

Greet and assist clients in person, by phone, and via email with professionalism and warmth

Schedule and manage client appointments, therapist calendars, and office resources

Maintain accurate client records and ensure confidentiality in compliance with HIPAA regulations

Handle basic accounts receivable tasks

Manage office supplies, vendor communications, and general facility upkeep

Support clinical staff with administrative tasks, documentation, and intake paperwork

Respond to inquiries and direct prospective clients to appropriate services

Requirements:

1+ years of administrative or office support experience, preferably in a healthcare or mental health setting

Strong organizational skills with the ability to multitask in a fast-paced environment

Excellent verbal and written communication skills

Proficiency in Microsoft Office Suite and/or practice management software

Knowledge of HIPAA compliance and client confidentiality standards

Empathetic, professional demeanor with a commitment to client-centered service

High school diploma or equivalent required; Associate's or Bachelor's degree a plus
