    Job description

    Complete Disaster Services located in Mount Joy, PA is looking for a responsible Office Administrator to perform a variety of administrative and program tasks within our multiple insurance repair programs inclusive of supporting existing clients. The duties of the Office Administrator include providing support to our team, subcontractors, vendor partners, and following all Managed Repair Program network requirements and guidelines. This position requires exceptional attention to detail, time management and communication skills.

    Responsibilities

    Support answering the phone and directing daily and emergency calls

    Daily program administration across multiple platforms

    Data entry

    Accounts receivable and payables

    Work with CDS Project Estimators and other team members on program losses

    Coordinate progression of any insurance loss claims

    Maintain program compliance daily, weekly, and monthly

    Maintain a consistent high scorecard rating for all programs

    Completion of daily, weekly, and monthly Dash tasks. Training will be provided

    Write and distribute email, correspondence memos, letters, faxes, and forms

    Assist in the preparation of regularly scheduled reports

    Develop and maintain a filing system

    Participate in vendor webinars and trainings

    Willingness to complete required certifications

    Weekly and monthly meetings to update management on insurance repair programs

    Participate in company sponsored events

    Other general office and administrative duties assigned

    Skills

    Professionalism with a strong business acumen

    Exceptional listening skills

    Experience in Restoration and Managed Repair Programs helpful

    Proven experience as an administrative assistant or office management experience in a fast-paced environment

    Ability to consistently meet daily, weekly, and monthly deadlines

    Proven knowledge of office management systems and procedures

    Attention to detail and problem-solving skills

    Excellent written and verbal communication skills

    Strong organizational skills with the ability to multi-task

    Previous experience in QuickBooks

    IT troubleshooting skills helpful

    Working knowledge of office equipment, including computers and printers

    Proficiency in MS Office (MS Excel, MS PowerPoint, Outlook)

    Certifications in the restoration industry helpful

    High School degree; additional qualifications/certifications in administrative and management a plus
