Job Summary
We are seeking an Office Administrator to join our 5-star rated team. In this role, you will coordinate all administrative and scheduling duties, ensuring the workplace operates smoothly and efficiently. You will be the front-end point of contact by answering all incoming calls and communicating with our project manager to coordinate jobs effectively.
Your responsibilities will include answering and forwarding calls to appropriate colleagues, scheduling meetings, paying invoices, assisting with material ordering and tracking, bookkeeping, timecard tracking, negotiating with vendors, and other duties, as assigned. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures.
Responsibilities
Answer all incoming calls
Collaborate with project manager to schedule and dispatch jobs
Maintain calendar of appointments and meetings
Collaborate with owner to create, update, and maintain office procedures
Limited bookkeeping
Pay and record invoices
Timecard tracking
Add new leads to CRM
Follow-up with customers to ensure 100% satisfaction
Qualifications
High school diploma/GED required, some college preferred
Previous experience as an Office Manager, dispatcher, or similar position preferred
Understanding of office equipment, systems, and procedures
Skilled in Microsoft Office, Excel, and Outlook
Excellent time management skills and ability to prioritize multiple tasks
Strong problem-solving skills and attention to detail
Excellent verbal and written communication skills
Experience with Housecall Pro a plus
