    Salary Range

    $40,000 - $45,000 per year

    Work Hours

    40 hours per week, Monday through Friday, 9:00 AM - 5:00 PM

    Position Summary

    We are seeking a highly organized and professional Office Administrator to manage daily office operations and provide exceptional administrative support. The ideal candidate will be detail-oriented, proactive, and capable of multitasking in a fast-paced environment. This role is critical to ensuring smooth office functionality and delivering excellent customer service to clients and visitors.

    Key Responsibilities

    Answer Phones: Handle incoming calls professionally, direct inquiries to appropriate staff, and take detailed messages when necessary.

    Assist Clients: Greet and assist clients and visitors, addressing their inquiries and providing a welcoming experience.

    Support Management: Provide administrative support to management, including preparing documents, organizing files, and coordinating meetings.

    Schedule Clients: Manage appointment calendars, schedule client meetings, and ensure timely communication regarding appointments.

    Generate Reports: Prepare and distribute reports, including financial summaries, client activity reports, and performance metrics, using Microsoft Office Suite or similar software.

    Office Management: Oversee office supplies, maintain equipment, coordinate with vendors, and ensure a clean and organized work environment.

    Data Entry and Record Keeping: Maintain accurate records, update databases, and ensure confidentiality of sensitive information.

    Event and Meeting Coordination: Arrange meetings, book conference rooms, and assist with planning office events or training sessions.

    Additional Duties: Perform other administrative tasks as assigned to support the team and organization.

    Qualifications

    High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred.

    1+ years of experience in an administrative or customer service role.

    Excellent communication skills.

    Strong organizational abilities.

    Ability to multitask and prioritize effectively in a dynamic environment.

    Professional demeanor and customer service orientation.

    Familiarity with office equipment (e.g., printers, phone systems, scanners).
