Key Responsibilities
Greet clients, visitors, and vendors with professionalism and warmth.
Answer and direct incoming phone calls and emails.
Manage calendars, appointments, and meeting schedules for executives.
Maintain organized filing systems, records, and office documentation.
Order and manage office supplies and coordinate with vendors.
Assist with preparing reports, correspondence, presentations, and other business documents.
Coordinate travel arrangements, meetings, and company events as needed.
Handle incoming and outgoing mail and deliveries.
Support bookkeeping tasks, data entry, and invoice processing (as applicable).
Maintain a clean, organized, and welcoming office environment.
Assist with special projects and provide administrative support across departments.
Qualifications
Previous experience in an administrative, executive assistant, receptionist, or office management role preferred.
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Ability to prioritize tasks and work independently.
Professional appearance and positive attitude.
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
Experience with office equipment and multi-line phone systems.
High attention to detail and problem-solving skills.
