We are seeking a highly organized and detail-oriented Office Administrator / Executive Assistant to support our executive leadership team and oversee day-to-day office operations.
The ideal candidate is professional, dependable, discreet, and comfortable managing multiple priorities in a fast-paced office environment. Fluency in both English and Greek is required. Experience with ADP RUN or a similar payroll and HR system is strongly preferred.
This is a full-time, in-office position in Midtown Manhattan, Monday through Friday, from 9:00 a.m. to 5:00 p.m. This is not a remote or hybrid position.
Key Responsibilities
Manage executive calendars, appointments, meetings, and travel arrangements.
Provide bilingual communication support in English and Greek, both written and verbal.
Assist with payroll administration, employee records, onboarding and offboarding, and other HR administrative functions, including the use of ADP RUN.
Oversee day-to-day office operations, including vendors, invoices, office supplies, incoming and outgoing mail, and general administrative needs.
Draft, review, and prepare professional correspondence, reports, presentations, and other business documents.
Serve as a point of contact and liaison between executives, employees, vendors, and external business partners.
Maintain organized electronic and physical records and ensure appropriate document management.
Support executive leadership with administrative and operational projects as needed.
Handle confidential personnel, financial, and business information with a high level of discretion and professionalism.
Qualifications
Minimum of 2 years of experience in office administration, executive assistance, or a similar administrative role.
Fluent in English and Greek
Experience with ADP RUN or a similar payroll/HR platform strongly preferred.
Proficiency in Microsoft Office, including Outlook, Word, and Excel.
Strong organizational, time-management, and multitasking skills.
Excellent written and verbal communication skills.
Strong attention to detail and demonstrated ability to follow through on tasks independently.
Professional demeanor and ability to handle sensitive and confidential information with discretion.
Must be authorized to work in the United States.
Compensation
$60,000–$70,000 annual salary, depending on experience and qualifications.
