About the Role
We are seeking a highly organized and proactive Office Administrator to support daily administrative and operational functions at our Lynnwood office. This role is essential in keeping our office running smoothly while maintaining strong coordination with our Vancouver headquarters.
The ideal candidate is detail-oriented, tech-savvy, and able to multitask effectively in a fast-paced, small office environment.
Key Responsibilities
Office Administration
Manage incoming/outgoing mail, shipments, and deliveries
Receive, sort, and distribute packages
Submit PTO requests and administrative updates
Scan and send documentation to headquarters
Maintain accurate records and office communications
Order office supplies and manage administrative workflows
Front Desk & Office Support
Greet and assist guests, vendors, and subcontractors
Serve as the primary point of contact for staff support
Maintain a clean, organized, and welcoming office
New Hire Onboarding
Assist with computer setup and system access
Ensure new hires have tools, accounts, and paperwork ready
Guide employees through onboarding processes
Coordinate with IT and leadership
Technology & IT Support
Provide basic troubleshooting for computers, phones, and office tech
Submit and monitor IT support requests
Coordinate equipment repairs and replacements
Fleet & Facilities Coordination
Send reminders for vehicle maintenance and service appointments
Track facility-related appointments and updates
Assist with scheduling and logistics communication
Errands & Operations
Run local errands (bank, post office, vendors)
Support document transfers between offices
Assist with occasional pickups and deliveries
Qualifications
2+ years of office administration or administrative support experience
Strong multitasking and organizational skills
Proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with onboarding or HR-related admin tasks preferred
Basic technical troubleshooting skills
Strong communication and interpersonal skills
Valid driver’s license with clean driving record
Ability to work independently in a small office environment

Work Environment
This is a full-time, in-office position based in Lynnwood, WA. The role involves regular interaction with employees, visitors, and vendors, along with occasional local errands.
