    Job Summary

    TQS Mechanical is an HVAC and Refrigeration contractor specializing in supermarket refrigeration and commercial HVAC systems. We started in NY/NJ and have expanded into MA, FL, and TX. We are looking for a reliable Office Administrator to handle invoicing, project expense tracking, and day-to-day office administration.

    Responsibilities

    Monitor daily transactions to ensure all amounts are accurate and catch any discrepancies.

    Issue accurate invoices for construction projects and maintenance services.

    Handle payment processing, including managing checks and wire transfers.

    Track and manage expenses against individual project budgets.

    Organize and maintain all project-related paperwork and records.

    Assist managers with project coordination and task follow-up.

    Preferred Qualifications

    1 to 3 years of experience in an office or administrative role.

    Detail-oriented.

    Strong proficiency in MS Office, comfortable learning new software.

    Punctual and able to meet task deadlines.

    Preferred Qualifications

    Prior experience in the HVAC-R or any other trade.

    Experience with any accounting or project management tools.

    Experience with any ERP systems.
