Trusts & Estates Law Firm Experience Required We are seeking a highly capable and professional Office Administrator to oversee the firm’s day-to-day operations, human resources, and financial processes. This role is integral to the success of our growing team and requires a detail-oriented, proactive leader who thrives in a collaborative, purpose-driven environment. The ideal candidate should have prior experience as a law office administrator—preferably in trusts and estates—and be capable of mentoring and training legal assistants, paralegals, and office assistants. They should also have a strong understanding of the legal documents your firm prepares to effectively guide the team. You will work directly with the firm’s leadership team to ensure operational excellence, manage staff, support financial stewardship, and uphold our core values. Responsibilities: Human Resources Management • Oversee all HR functions, including recruitment, onboarding, benefits administration, and performance management. • Implement policies that foster a positive work environment and ensure compliance with labor laws and regulations. • Coordinate training and professional development initiatives to strengthen our high-performing team. • Manage payroll and benefits processing with accuracy and confidentiality. Financial Oversight • Open new matters, prepare and distribute client invoices. • Oversee accounts payable, accounts receivable, and collections processes. • Monitor cash flow and assist with budgeting and financial forecasting. • Generate timely and accurate reports for firm leadership. Operational Efficiency & Process Improvement • Develop and refine operational processes to optimize productivity and reduce costs. • Implement technology solutions to support growth and consistency across offices. Office Management & Administration • Manage daily office operations, including vendors, facilities, and supplies. • Ensure compliance with data security and record retention requirements. • Coordinate meetings, staff events, and firm-wide communications. Leadership & Culture • Collaborate closely with firm leadership to implement strategic initiatives. • Lead and mentor administrative staff, fostering accountability and teamwork. • Embody the firm’s core values in all interactions.
