    Summary/Objective

    We are looking for a highly motivated person to come alongside us as we grow! We want someone who loves to work hard but also desires to enjoy going to work every day. The Office Assistant position is responsible for front office activities, including the reception area, mail, purchasing requests and facilities. Also responsible for back-office activities, including accounts payable, account receivable, and other assignments as assigned.

    Essential Functions

    Manages the reception area to ensure effective telephone, mail, and email communications both internally and externally to maintain professional image.

    Oversees the maintenance and alteration of office areas and equipment, as well as layout, and arrangement.

    Arranges the purchase of office supplies and furniture, office equipment, etc., in accordance with company purchasing policies and budgetary restrictions.

    Applies customer payments, researches, and solves payment discrepancies, adjusts accounts as needed, prepares bank deposits.

    Processes check requests and tax payments, successfully manages all vendors and vendor payments, maintains immaculate records, and completes all projects as assigned, ensures all negotiated contracts are paid as agreed upon.

    Actively involved in the employee onboarding process, administers various human resource plans and procedures; assists in the development and implementation of personnel policies and procedures; prepares and maintains the employee handbook and the policies and procedures manual.

    Prepare and distribute marketing material. Keep customer list current.

    Use the CRM system for tasks such as creating estimates, invoices, and scheduling.

    Work Environment

    This job operates in a professional digital office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.

    While performing the duties of this job, the employee is regularly required to talk or hear. This is a sedentary role. The employee frequently is required to use hands to finger, handle or feel; and reach with hands and arms.

    This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

    No travel is expected for this position.

    Required Education and Experience

    High School Degree or equivalent.

    Must love working and serving co-workers, customers, and vendors.

    Must be familiar in a digital working environment.

    Have a positive attitude and a willingness to learn and grow.

    Preferred Education and Experience

    Prior experience in an office setting.
