The Office Assistant position is responsible for front office activities, including the reception area, mail, purchasing requests and facilities. Also responsible for back-office activities, including accounts payable, account receivable, and other assignments as assigned.
Manages the reception area to ensure effective telephone, mail, and email communications both internally and externally to maintain professional image.
Oversees the maintenance and alteration of office areas and equipment, as well as layout, and arrangement.
Arranges the purchase of office supplies and furniture, office equipment, etc., in accordance with company purchasing policies and budgetary restrictions.
Applies customer payments, researches, and solves payment discrepancies, adjusts accounts as needed, prepares bank deposits.
Processes check requests, successfully manages all vendors and vendor payments, maintains immaculate records, and completes all projects as assigned, ensures all negotiated contracts are paid as agreed upon.
Coordinates daily schedule and follows up on estimates created.
Keep customer list current and other projects as needed.
Helps to maintain a clean office space and set up for trainings, as needed.
Use the CRM system for tasks such as creating estimates, invoices, and scheduling.

While performing the duties of this job, the employee is regularly required to talk or hear. This is a sedentary role. The employee frequently is required to use hands to finger, handle or feel; and reach with hands and arms.
This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
Required Education and Experience
High School Degree or equivalent.
Must love working and serving co-workers, customers, and vendors.
Must be familiar in a digital working environment.
Have a positive attitude and a willingness to learn and grow.
Preferred Education and Experience
Prior experience in an office setting.
