We are a manufacturing company, located in Santa Ana, dedicated to saving lives and property with preventative earthquake safety measures. We develop, manufacture and sell a variety of automatic gas shutoff valves that activate and shut off natural gas supplies at residences and businesses in the event of a significant earthquake which helps protect homes, buildings, and families. We are seeking an Office Administrator to support the President of the company in our daily operations.
About the Position
The Office Administrator position is an exciting opportunity for someone that is comfortable wearing multiple hats in a small business and wants to grow into a leadership position. This multifaceted position will be involved in customer service, product support, accounts payable, accounts receivable, payroll, shipping and receiving.
About You
· You are a self-starter with the ability to work both independently and as part of a team.
· You are highly organized and detail oriented
· You are an effective communicator both written and verbal.
· You are fluent in English, but bilingual (Spanish) is a plus.
· You are proficient in Microsoft Office suite, including Outlook, Word, Excel.
· Your comfortable speaking with customers on both a technical and non-technical basis.
Education and Experience Required
· High School diploma with some college preferred
· 5+ years of Office Administration experience or equivalent proficiency
· Experienced with QuickBooks application AR and AP processing.
· Sales or customer service experience or aptitude.
What You’ll be Doing
· Responsible for front office activities for a manufacturing business.
· Provide customer service via phone and email for existing and new customers
· Develop and refine processes and procedures for a smooth efficient office
· Responsible for sales order entry
· Handle Accounts Payable and Receivable activities
· Processing bi-weekly payroll
· Fulfill product orders including packing and shipping.
· Provide Customer Service including answer phones and responding to emails.
