Overview This role ensures smooth daily operations and effective project management for insulation services. The Office Manager & Operations Coordinator supports strategic planning, team coordination, and client satisfaction while driving operational efficiency.
Key Responsibilities
Project & Schedule Management
Review daily/weekly installation plans and coordinate with GM and President on timelines and budgets.
Collaborate with sales reps and clients to align project scope and expectations.
Monitor job progress and assist on-site leads with scheduling adjustments and issue resolution.
Work Environment & Compensation
Office/storefront-based with occasional on-site presence
Hours: 7:45 AM – 4:30 PM, Monday–Friday
Salary: $32,500–$37,500/year depending on experience
Benefits: Federal holidays, 2 weeks PTO, individual healthcare after 1 year (may be negotiable sooner)
Operations Support
Streamline workflows and recommend process improvements.
Manage inventory and assist with supply chain data tracking.
Coordinate monthly supply deliveries to optimize crew efficiency.
Team Leadership
Support and guide insulation technicians as needed.
Track client feedback for installer incentive program and share updates in morning meetings.
Coordinate training with Corporate for new Lead Techs when required.
Promote a culture of accountability and continuous improvement.
Client Relations
Serve as primary contact for clients, ensuring clear communication and satisfaction.
Maintain and grow commercial client relationships.
Schedule in-home assessments and greet walk-in customers professionally.
Reporting & Analysis
Provide data to GM and CEO on project performance and operational metrics.
Review payroll and expenses with CEO to identify cost-saving opportunities.
Collect marketing source data from homeowners and update tracking spreadsheet.
Typical Day
Arrive 15 minutes before crew meeting to prepare morning briefing
Share job details, schedule updates, and incentive program status.
Monitor job progress and adjust next-day plans as needed.
Answer customer calls and coordinate assessments.
Maintain marketing effectiveness data.
Qualifications
High School Diploma
Experience in management or customer service
Strong leadership, organization, and communication skills
Proficiency in Word, Excel, and PowerPoint
Knowledge of insulation practices preferred
