    Position Overview

    The Office Assistant serves as the first point of contact for candidates, clients, and visitors. This role is responsible for delivering exceptional customer service, managing front-desk operations, and providing administrative support to the recruiting and staffing team. The ideal candidate is organized, professional, and able to work in a fast-paced environment.

    Key Responsibilities:

    • Greet and assist walk-in candidates, clients, and visitors in a professional and welcoming manner.
    • Answer, screen, and route incoming phone calls and emails to the appropriate team members.
    • Provide general information about company services, application processes, and job openings.
    • Assist applicants with completing applications, onboarding forms, and required documentation.
    • Schedule interviews, orientations, and assessments for candidates.
    • Verify identification and employment eligibility (I-9 verification, E-Verify, etc., if applicable).
    • Maintain confidentiality of all candidate records and sensitive information.
    • Support recruiters and staffing specialists with administrative tasks as needed.
    • Communicate appointment schedules, daily updates, and candidate arrivals to staff.

    Requirements:

    • High school diploma or equivalent
    • 2+ years of experience in administrative support roles - customer service or staffing industry preferred.
    • Excellent verbal and written communication skills.
    • Strong customer service orientation with a friendly, professional demeanor.
    • Proficient with MS Office (Word, Outlook, Teams) and comfortable using ATS or CRM systems.
    • Ability to multitask and manage competing priorities in a fast-paced environment.
    • Strong attention to detail and organizational skills.

    Work Environment & Schedule

    • On-site position in an office environment.
    • Part time working hours with occasional adjustments based on business needs.
