Job Description
An Office Assistant provides crucial administrative and clerical support to ensure the smooth functioning of an office environment. Their responsibilities often include answering phones, managing correspondence, scheduling appointments, maintaining files, scanning, inventory, ordering office supplies, some accounting, and handling general office duties. The Office Assistant may also be the first point of contact for visitors and clients, playing a key role in creating a positive first impression.

Key Duties and Responsibilities
Assisting with data entry (Digitization, Manual Data Entry, Bookkeeping, Online Data Entry, Offline Data Entry), document preparation, laminating, filing, scanning, light accounting, creating spreadsheets
Answering the phone, checking voicemail, taking accurate messages, directing inquiries to the appropriate personnel, and managing email correspondence
Facilitates the resolution of customer complaints coming into the corporate office or problems to ensure satisfaction and return business
Researching and resolving sales transaction issues utilizing industry-specific software.
Using Point of Sale and other software to manage the Beyond Bread Gift Card program
Maintaining office supplies inventory and placing orders online; this includes maintaining inventory, tracking, and placing other orders (uniforms, some warehouse supplies, etc) by email, phone or online; ensuring office equipment is in working order
Preparing and mailing out gift cards and packages. Delivering mail & parcels to the post office.
Performs other related duties as requested by the President, Office Manager, Accounting Assistant, and Store Leadership Team Members
Managing deliveries that come in or need to be prepared to go out
Knowledgeable on Beyond Bread’s menu, concepts and restaurant processes
Assisting in company marketing by communicating and producing materials for products
Regularly updating existing records in databases and other systems
Maintains a professional appearance and grooming standards per our Dress Code and Appearance policy
Special projects and research related to Beyond Bread’s corporate functioning
Job Qualifications and Requirements
Essential:
Must be 22 years or older
Previous restaurant experience is a plus
High school diploma or equivalent required; additional education or certification in office administration is a plus
Proficient in using computer software programs such as Google Workspace and Microsoft Office Suite, and utilizing accounting software to assist with bookkeeping tasks
Excellent customer service skills that include active listening, communicating courteously, both verbal and written
High attention to detail, obsessed with accuracy, and a desire to learn
Strong organizational skills with the ability to multitask and prioritize tasks effectively
Punctual, reliable, and a team player
A natural leader with the desire to teach and share knowledge
Displays a willingness to make decisions while displaying a high level of reasoning skills and accurate judgment
Ability to maintain confidentiality and handle sensitive information with professionalism
Demonstrates knowledge of general accounting principles, practices, and the basic application and use of concepts, theories, and terminology in accounting
Mathematical skills: ability to calculate figures and amounts such as discounts, interest, commissions, portions, percentages, circumference, and volume
Ability to adapt to new systems, and processes well, and seeks out training to enhance knowledge, skills and abilities
Ability to work independently but also collaborate with others to support the overall office environment
Must have reliable transportation
