    Position Overview

    The Marina Office Assistant is the primary face of the Chesapeake Yacht Club’s landside operations. This role is perfect for a highly organized professional who thrives in a waterfront environment and enjoys being the "go-to" person for members, guests, and visiting boaters. You will ensure the office runs like a well-oiled machine, especially during our busiest times on the weekends, providing administrative support that keeps our membership informed and our marina operations seamless.

    General Responsibilities

    Member Communications: Act as the club’s "voice" by producing the weekly newsletter, text alerts, and email blasts to keep the community engaged.

    Guest & Transient Services: Manage the arrival of transient boaters, ensuring all accounts are created accurately and insurance records are up to date.

    Membership Liaison: Support the onboarding/offboarding process and act as a first point of contact for prospective members, including providing tours of our facilities.

    Departmental Synergy: Coordinate with the Food & Beverage team to design event flyers and menus, and assist committee members with website and calendar updates.

    Specific Tasks

    Data Management: Accurate entry into ClubEssentials (membership) and P.O.S./Vendor systems.

    Compliance: Maintain meticulous insurance records for both members and outside tradesmen/contractors.

    Marketing & Digital: Update the website calendar with real-time club news.

    Office Logic: Maintain supply levels, organize digital and physical filing systems, and refine office procedures for maximum efficiency.

    Reception: Professional phone management and meeting/appointment scheduling.

    Other duties as assigned by the manager.

    Qualifications

    Experience: Previous experience in an administrative or high-end hospitality role (marina, yacht club, or resort experience is a major plus).

    Technical Skills: Proficiency in Microsoft Office (Word, Outlook, PowerPoint). Ability to quickly learn industry-specific software like ClubEssentials.

    Organization: A "self-starter" mentality with the ability to prioritize tasks independently during busy weekend shifts.

    Education: Associate’s degree or professional administrative training preferred.
