    Position Description

    This position reports directly to the Office Administrator regarding all day-to-day office duties. The Office Assistant is the front face of the office, welcoming members and guests to the club. Work with the Office Administrator to maximize the office efficiency, organization, and daily administrative operations of the Club. Operate the club’s office to maintain regular office hours, which may include holidays and weekends.

    General Responsibilities

    The office assistant produces daily, weekly, and monthly communications to keep the membership up to date on current Club information and events. Communications include but are not limited to the “this week”, Docklines, text messages, and emails. Assisting with the membership onboarding and offboarding process. Working with committee members to keep the calendar, bulletin boards, and website up to date. Directing calls and messages to the correct departments along with scheduling meetings. Collecting and organizing transient information and creating accounts for their visit.

    Specific Tasks

    · Working with food and beverage to create event flyers and menus.

    · Updating the website calendar.

    · Maintain office supplies and order when necessary.

    · Office organization.

    · Insurance record keeping (member and tradesmen).

    · Distributing potential member information to the membership team.

    · P.O.S data entry.

    · Vendor data entry.

    · Member data entry into ClubEssentials.

    · Meeting and touring potential members when needed.

    · Event coordination

    · Social media updates

    · Schedule appointments

    · Maintain an organized filing system

    · Develop, update, and maintain relevant office procedures · Answering phones and registering guests

    · Other duties as assigned by the manager

    Qualifications

    · High school diploma/GED required, Associate’s degree or administrative training is preferred · Previous experience as an Administrative Assistant or in a similar position · Familiarity with standard office equipment such as printers and fax machines · Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint · Highly organized with excellent time management skills and the ability to prioritize projects
