Hello,
We are seeking a reliable, detail-oriented Office Assistant / Operations Support professional to support the day-to-day operations of a small family office that oversees and supports a school business.
This is an in-person position, Monday–Friday from 8:00 AM to 4:00 PM. We are looking for someone from a service-based or hospitality background (hotel, restaurant, front desk, customer service, retail, or similar) who is interested in learning office operations and developing administrative and business skills.
No prior office, accounting, or school experience is required. Training will be provided for the right candidate.
Position Overview
The Office Assistant will work closely with and support the Chief Operations Officer (COO) in running the daily operations of the business. This role combines office management, administrative assistance, and operational support.
This position is ideal for someone who is organized, meticulous, dependable, and comfortable using a computer for daily tasks.
Key Responsibilities
Office & Operations Support
Assist the COO with day-to-day business operations
Act as an office manager for a small family office
Keep the office organized, stocked, and running efficiently
Perform light housekeeping and office upkeep as needed
Maintain a clean, professional, and orderly workspace
Administrative & Business Support (Training Provided)
Assist with basic paperwork, forms, and documentation
Organize physical and digital files
Support scheduling, reminders, and daily task coordination
Perform basic data entry and recordkeeping
Follow procedures accurately and consistently
Introductory Financial & Billing Support (Training Provided)
Assist with basic billing-related tasks under supervision
Help track information using spreadsheets and simple tables
Learn basic accounting concepts related to receivables and payments
Support organization of billing documentation
Communication Support (Training Provided)
Assist with drafting basic emails, notices, and letters
Communicate professionally and politely when needed
Learn how to handle routine questions and escalate issues appropriately
Technology & Tools (Training Provided)
Use a computer daily for administrative and operational tasks
Learn to use Microsoft Office (Word, Excel, Outlook)
Learn internal systems and workflows used to support operations
Be open to learning basic use of AI tools (such as ChatGPT) to assist with writing and problem-solving
Required Qualifications
High school diploma or equivalent
Computer literate (comfortable using a computer, email, and basic software)
Experience in hospitality, service, customer service, or support roles preferred
Strong attention to detail and ability to follow instructions carefully
Reliable, punctual, and consistent
Willingness to learn new skills and accept training
Professional demeanor and strong work ethic
Schedule & Compensation
Monday through Friday, 8:00 AM – 4:00 PM
In-person position
Hourly pay at minimum wage
