    Job Summary

    We are seeking a Office Associate to join our team. In this role, you will be responsible for coordinating and dispatching towing operations, ensuring efficient and timely responses to service requests. This role involves managing communication between customers, drivers, and support staff to facilitate smooth operations and prompt service. The ideal candidate will be highly organized, able to multitask in a fast-paced environment, and possess strong problem-solving abilities.

    Responsibilities

    Receive a high volume of inbound calls and service requests, these will be emergency & non-emergency requests

    Receive, prioritize & dispatch tows/vehicle service requests

    Identify the reason for the customer’s call, collect relevant information, and provide solutions

    Use best practices in customer service techniques to develop rapport and build relationships with customers

    Document all customer interactions

    Ensure all dispatching activities comply with local regulations and company policies, including vehicle towing protocols and safety standards

    Communicate clearly and courteously with clients, assist customers in understanding the towing process, handle their concerns professionally, and provide excellent customer service

    Interpret documents such as vehicle registration cards, vehicle titles, information exchange forms, bills of sale, etc.

    Perform basic math skills to include addition, subtraction, multiplication, and division

    Interpret a variety of instructions furnished in written, oral, diagram, or schedule form

    Ensure that all information is entered into the dispatch/billing system

    Employee will be required to collect paperwork & payments & run credit card payments

    Establish financial responsibility, if any, and gain acknowledgement of the same from the customer

    Utilize GPS and dispatch software to monitor driver locations, job status, and route efficiency

    Physical Requirements

    Ability to sit for extended periods and handle multiple screens or devices simultaneously

    Work Environment

    Fast-paced towing/transportation dispatch office with frequent phone communication

    The office is open 365 days a year: Monday-Friday from 08:00am - 05:00pm, Saturday-Sunday 08:00am - 12:00pm, and select Holidays 08:00am - 12:00pm. The shift is Monday-Friday weekly with a rotating weekends.

    Qualifications

    Some college or skilled training beyond High School

    Previous experience in a similar role is preferred

    Comfortable using computers and customer management software

    Excellent phone and verbal communication skills

    Multitasking abilities is essential

    Ability to operate without assistance - Microsoft Office (Word, Excel, Outlook, etc.)

    Highly organized with the ability to prioritize projects and manage time effectively

    Excellent time management skills

    Understanding of active listening techniques

    Ability to work well under pressure & in fast paced/diverse environment

    Know geographical area as well as ability to read maps
