Position Overview:
Zoom Elite Transportation is seeking a reliable, detail-oriented, and proactive Office Assistant to support the daily operations of our administrative office. The ideal candidate will possess both human resources and general office experience and will serve as a key support person to the General Manager and Director. This role requires excellent organizational, communication, and interpersonal skills, with the ability to multitask and maintain confidentiality in a fast-paced environment.
Key Responsibilities:
Provide direct administrative support to the General Manager and Director, including scheduling meetings, preparing reports, and managing communications.
Assist with HR functions such as onboarding, employee file maintenance, benefits coordination, and attendance tracking.
Serve as a point of contact for internal and external communications, including phone calls, emails, and visitor inquiries.
Coordinate office activities and operations to ensure efficiency and compliance with company policies.
Manage office supply inventory, ordering materials as needed.
Assist in the preparation of company reports, presentations, and internal documentation.
Support recruiting processes by posting jobs, scheduling interviews, and communicating with candidates.
Maintain accurate employee records and ensure compliance with federal and state labor laws.
Assist in organizing company events, meetings, and training sessions.
Provide backup support to other administrative staff as needed.
Qualifications:
High school diploma or equivalent required; associate or bachelor’s degree in business administration, human resources, or related field preferred.
Minimum 2 years of experience in an administrative or office assistant role.
Previous HR experience strongly preferred.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Professional demeanor with a high level of discretion and confidentiality.
Ability to work independently and as part of a team.
Work Schedule:
Full-time, Monday through Friday (additional hours may be required based on business needs)
Compensation:
Starting Pay - $15 -$18 per hour
