    HHI Builders is looking for an organized, dependable, and personable Office Coordinator / Administrative Assistant to help keep our office and leadership team running smoothly. This person will be the first point of contact for many clients, vendors, and visitors. You will answer phones, welcome guests, prepare meeting spaces, maintain office supplies and refreshments, assist with scheduling and paperwork, and help make sure important details do not fall through the cracks. This is an in-office position for someone who enjoys helping people, staying organized, and being the person others can rely on. It is not a marketing, bookkeeping, or management position. Our primary need is someone who can keep the office organized and help keep our team on track. This position is an important part of our daily operations because you will often be the first voice a prospective client hears and the first person a visitor meets. Responsibilities: Answer incoming phone calls professionally and direct calls to the appropriate team member Take accurate messages and make sure important inquiries receive follow-up Welcome clients, vendors, trade partners, and other visitors Offer guests refreshments and create a warm, professional first impression Prepare conference rooms and the design center before client meetings Make sure meeting spaces are clean, organized, stocked, and presentation-ready Reset conference rooms after meetings Monitor office supplies, kitchen items, drinks, snacks, and cleaning supplies Order supplies before they run out Receive and distribute mail, packages, and deliveries Assist with calendars, meeting coordination, appointments, and reminders Prepare documents, forms, spreadsheets, meeting materials, and correspondence Scan, file, and organize electronic and paper records Help leadership track administrative tasks and follow-up items Assist with onboarding preparations for new employees Coordinate office lunches, celebrations, meetings, and company events Communicate with office maintenance providers and service vendors Complete occasional basic marketing or social media support tasks when needed Help with other administrative responsibilities that support the team and office Qualifications: Previous experience in administration, reception, office coordination, customer service, hospitality, or a similar role Professional and friendly telephone manner Strong written and verbal communication skills Highly organized with strong attention to detail Dependable, punctual, and consistent Able to manage interruptions and multiple small responsibilities throughout the day Comfortable working with clients, vendors, and company leadership Able to follow through on assignments without repeated reminders Comfortable using email, calendars, Microsoft Office, or Google Workspace Willing and able to learn company phone, CRM, and project management systems Able to handle confidential information professionally Comfortable working in a growing company where priorities and systems may evolve Experience in construction, remodeling, design, real estate, or professional services is helpful but not required A college degree is not required Compensation: 40000 - 60000 yearly
