POSITION SUMMARY
The Office Coordinator serves as the welcoming face of our company and is responsible for front desk operations, facility support, supply coordination, and general administrative tasks. This role requires strong organizational skills, a friendly demeanor, and the ability to multitask in a dynamic environment. The Office Coordinator ensures smooth daily operations of the office while supporting other departments as needed.
YOUR ROLE
- Greet and assist all visitors, applicants, and deliveries at the front desk.
- Answer and direct phone calls to appropriate departments, assisting vendors and potential employees with inquiries.
- Respond to general emails and forward information to relevant departments (e.g., Accounting, Estimating).
- Order and maintain office and cleaning supplies for multiple departments, ensuring adequate stock and timely distribution.
- Restock snacks and beverages in conference rooms and maintain overall organization in communal areas (203 and 214 locations).
- Coordinate monthly printer paper and ink orders and schedule maintenance services as needed.
- Sort, organize, and distribute incoming mail; prepare certified mail and manage FedEx/UPS shipments.
- Open and close front office gates and doors at the 203 and 214 location, including securing facilities after hours.
- Maintain cleanliness and organization of office spaces and supply closets.
- Support coordination of office and holiday events, including ordering food and supplies and assisting with logistics.
- Send meeting invites, reminders, and employee communications through email, text, or Teams as requested.
- Assist applicants during the hiring process, providing recommended next steps and support.
- Provide administrative support to Accounting, IT, and Human Resources as needed to ensure smooth coordination and completion of departmental initiatives.
- Perform all other duties as assigned to support company operations.
WHAT YOU BRING
- High school diploma or equivalent; Associate degree preferred.
- 2+ years of experience in an office coordinator or administrative support role.
- Bilingual in English and Spanish required.
- Strong interpersonal and customer service skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- Excellent organization, time management, and multitasking skills.
- Ability to maintain professionalism and confidentiality.
PHYSICAL REQUIREMENTS
Work is primarily performed in an office setting with consistent use of a computer, phone, and other office equipment. Must be able to sit for extended periods to complete data entry, recordkeeping, and reporting tasks. Occasional lifting of up to 20 lbs. may be required for handling documents or office supplies. An ergonomic workstation is recommended to support long periods of screen time.
