    THE OPPORTUNITY

    We are seeking a highly organized and friendly Office Coordinator to oversee daily operations and ensure the smooth functioning of our office. By ensuring seamless office operations, coordinating schedules, and serving as the first point of contact for visitors and vendors, you will directly contribute to the productivity, professionalism, and positive culture that define the Legacy Mechanical team.

    WHAT YOU WILL BE DOING

    • Oversee day-to-day office operations, including managing supplies, equipment, and facility needs to keep the office running efficiently.
    • Organize meetings, appointments, and calendars for staff and leadership, ensuring timely communication and preparation.
    • Serve as the first point of contact for clients, vendors, visitors, and building management—providing professional, courteous, and solution-oriented service.
    • Assist with internal communications, team-building activities, and company events that strengthen culture and morale.
    • Handle incoming calls, emails, and mail with accuracy and professionalism, routing inquiries promptly.
    • Coordinate travel arrangements, meeting logistics, and company events to ensure smooth execution.
    • Support document management, filing systems, and compliance-related tasks for office and project operations.
    • Liaise with service providers for maintenance, repairs, and office improvements, ensuring timely resolution of issues.
    • Help with onboarding new employees, setting up workstations, and troubleshooting basic office technology needs, in coordination with HR and IT.
    • Monitor office safety protocols and assist with emergency preparedness and building access management.

    WHAT YOU WILL BRING TO OUR ORGANIZATION

    • High school diploma or equivalent required.
    • 2+ years of experience in office administration, reception, or customer service roles (construction or mechanical contracting industry experience is a plus).
    • Experience in managing multiple priorities in a fast-paced environment.
    • Excellent written and verbal communication skills, with a focus on clarity and professionalism.
    • Proficiency in Microsoft Outlook, Word, and Teams, and experience adapting to new technologies.

    • Expected hiring rate of $23.00 - $28.00 per hour based on experience
