The Office Coordinator serves as the first point of contact for clients and visitors while ensuring seamless daily operations across the office. This role blends three essential functions: Reception, Administrative Support, and, as you grow in the position, Legal Assistant responsibilities for one of our partners. You’ll start by mastering reception and administrative duties, then expand into legal assistant work once you’re ready — offering a clear path for professional development within the firm. In addition, the Office Coordinator will collaborate with the firm’s controller on cost-related matters, coordinate with outside vendors, and serve as the firm’s gatekeeper for new client matters — guiding prospective clients through the intake process and setting up their files when retained. Compensation: • Salary Range: $55,000 - $62,000 • Paid time off and holidays • Full benefits package included • Opportunities for professional growth in the legal field • Collaborative and professional work environment Responsibilities: Reception & Client Intake • Welcome clients, visitors, and vendors with professionalism and warmth. • Answer and route phone calls on a multi-line system. • Conduct initial intake conversations with potential clients and prepare summaries for attorney review. • Guide retained clients through the intake process and set up their matters with the firm. • Manage conference room scheduling and technology setup. • Handle incoming/outgoing mail, deliveries, and document routing. • Process and scan documents, saving them to files and routing financial items to the controller. • Coordinate tasks with Process Servers or Runners. • Maintain confidentiality with sensitive legal information and client matters. • Support attorneys and paralegals with clerical needs, scanning, filing, and document preparation. • Monitor and restock office supplies as needed. • Maintain a calm and organized presence in high-traffic situations. Administrative Support • Collaborate with the controller on cost-related tasks and projects. • Serve as point of contact for vendors (IT, copier, office maintenance, etc.). • Assist with administrative projects such as insurance quotes, consultant coordination, and invoice proofing. • Support other employees with healthcare vendor-related questions. • Enter timekeeper hours into Tabs as requested. Legal Assistant • Manage calendars, filings, and case-related documents. • Prepare, file, and organize court submissions (state, federal, appellate, arbitration). • Draft and format routine legal filings. • Assist in preparing hearing binders and other case materials. • Provide coverage for other legal assistants as needed. • Communicate with clients and other attorneys’ offices professionally. • Manage files electronically, scan/copy legal documents, and support courtroom preparation. • Perform light transcription using available tools (including AI platforms). Qualifications: • Previous law firm or professional office experience preferred. • Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and office equipment. • Excellent communication and interpersonal skills. • Strong organizational skills with attention to detail. • Ability to multitask and stay calm under pressure. • Professional demeanor and reliable work ethic. • High school diploma or equivalent required; further training in office administration or legal support is a plus. Compensation: $55,000 - $62,000 yearly
