Position Summary:
The Office & Customer Support Specialist is a key member of our team responsible for creating a positive customer experience while ensuring smooth day-to-day office operations. This role supports both front-office and back-office functions, including customer order fulfillment, providing follow-up support, and assisting with general administrative tasks that keep the business running efficiently. The ideal candidate is organized, professional, and customer-focused, with strong attention to detail and a proactive approach.
Key Responsibilities:
Greet and assist customers by phone, email, and in person with professionalism and courtesy
Process customer orders accurately and coordinate fulfillment from start to finish
Provide follow-up support to ensure customer satisfaction and resolve issues promptly
Assist with office operations including scheduling, invoicing and record management
Support team communication and workflow between field staff and management
Maintain a clean, organized, and welcoming front office environment
Handle incoming calls and direct inquiries to the appropriate team member
Assist with inventory tracking and supply ordering as needed
Qualifications:
Strong communication and customer service skills, both verbal and written
Proven ability to manage multiple tasks with accuracy and attention to detail
Proficiency with Microsoft Office Suite and general office software; ability to learn industry tools quickly
Organized, dependable, and proactive in solving problems and supporting team needs
Prior experience in office administration, customer service, or order fulfillment preferred
Ability to work effectively with both customers and internal teams in a fast-paced environment
Bonus: Experience in the pool service industry or related field
