    Summary: At 1-800 Water Damage of East Louisville, smooth processes and systems are the key to our success. We’re looking for an office manager who has excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as surprises. The office manager will provide strong, reliable support for operations by creating procedures and communicating them companywide. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment.

    Responsible for speaking with the customers, on-going customer follow up, handling service complaints, logistics of dispatching field personnel to jobs while ensures that the required Cycle Time and insurance Service Level Agreement tasks deadlines are met. Responsible to follow up daily with Water Mitigation team to ensure that all required documentation, estimates and procedures are followed according to required program guidelines.

    Essential Functions:

    Understand the Insurance Claims process for Water Mitigation & Reconstruction

    Manages data for each job from First Notice, through the completion of the job in PSA.

    Daily review of compliance tasks and all job tasks are completed on time.

    Monitor and update jobs in required operating systems to ensure the job flows efficiently through the claims process.

    Follow up with the home to get missing required data from homeowner and insurance/mortgage information not received.

    Manages Customer Service issues and complaints, documenting actions and resolution.

    Communication with the customer or insurance adjuster.

    Ensure notes are entered for all jobs, contacting relevant participants and escalating to the department manager as required.

    Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment

    Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly via performance reports

    Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists

    Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested

    Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested.

    Required Skills and Qualifications

    Two or more years of experience in office management.

    Strong time-management and people skills, high degree of flexibility, and excellent multi-taking ability.

    Proficiency with office applications, and aptitude for learning new software and systems

    Ability to maintain confidentiality of company information

    Preferred Skills & Qualifications

    Experience in developing internal systems

    Advanced computer skills and experience with online platforms.
